Onboarding - Tools setup

Purpose:
This document covers the part of the onboarding process that requires the new hires
to set up the tools required for performing their daily tasks, along with instructions on
how to use those tools on a daily basis. The tools explained in this document are:
Clockify, OneNote, ShareX and Slack.
Scope:
This procedure specifies how the new hire should download, set up, and use the tools
provided to them by the company. This process is intended for new hires only. The
procedure covers the initial settings and steps new hire is required to do in order to
start using the tools.
This procedure does not provide instructions on how to resolve potential problems
with the above-mentioned tools.
Definitions:
● Clockify - time tracking tool. Used to track the amount of time
employees spend working on a specific task.
● OneNote - Microsoft’s note-taking tool. Employees use a desktop
application, but the data is stored on a cloud, so it is accessible online
and from different PCs.
● ShareX - software used for taking screenshots.
● Slack - the main communication channel used in the company.
Roles and Responsibilities:
● Manager - provides access to the tools (sends invitations via email)
● New hire - downloads, sets up and uses the tools listed in this
procedure.
Procedure:
Setting up Clockify:
1.
Make sure you have logged into your Clockify account
a. Check your email to find the invite link
Adding tags:
In the beginning, you will only need these tags:

Internal - for meetings and internal tasks
■
MzeroA and Mincon - the clients we are currently working with
Tracking time in Clockify:
1.
Add the description of the task you are working on
2. Make sure to select the project (HorizonBPS)
2. Make sure you have set the corresponding tag in Clockify:
a. Tags represent the clients we are doing the task for
3. Click “Start” to start tracking your time.
Setting up OneNote:
1. Download the OneNote application to your PC and install it
2. Log in/Create an account with the email address you regularly use
a. This way, you or anyone else can access OneNote on any computer, in
case there is something wrong with the PC you are working on, or with
the internet connection, etc.
3. Open OneNote
a. Open required Notebook, section and Add New page:
4. Use “Dock to Desktop” option when you start working on the call:
a. Click View → Dock to desktop, or
b. Press Ctrl + Alt + D (shortcut)
Setting up ShareX
After downloading the software and installing it:1.
Make sure to adjust the shortcuts as it suits you the best:
a. Open ShareX
b. Click on Hotkey settings (from the left panel menu)
c. Adjust the controls for different type of actions as it is most convenient
for you.
NOTE: “Capture region” is the shortcut you will use most often.
