Client Application & Automation Build for an Insurance Agency
Insurance agent was using Buddha for client applications, but the process was clunky for clients and hard for agents to
track. Submissions lacked visibility, follow-ups were manual, and there was always a risk of leads being missed.
I rebuilt the entire application flow and automation using Zapier, focused on making it easier for clients and more reliable
for the agency.
What I Did
Reviewed the existing Broker Buddha application to understand required insurance data
Simplified and reorganized questions to reduce client confusion and drop-offs
Built a new link-based client application with conditional logic
Evaluated and selected the best form platform (Jotform, Typeform, Tally, Airtable)
Connected form submissions directly to the CRM
Built and mapped all Zapier automations to ensure every lead is captured
Tested multiple submission scenarios to prevent missed or broken data
Monitored live submissions and refined the flow after launch

I built and fixed a lead nurture system for an
insurance client offering an Injury Protection Plan
for Athletes.
I built a Zapier automation that follows up with leads
using email and SMS in a clear, non-pushy way.
Instead of forcing applications, the messages invite
questions and real conversations, while clearly
naming the injury plan so prospects aren’t confused
by generic insurance emails.

Created a process map showing the full lead
journey from form submission to follow-up and

Used the process map to help the client easily
understand how the system works and what
happens at each step
Set up logic to stop all follow-ups once a lead
replies, preventing over-communication
Documented the entire workflow step-by-step in
Notion for easy reference and future updates

Smart Lead-Capture Chatbot Integrated with Notion
I developed a custom chatbot automation that captures and qualifies leads directly from a website, seamlessly
syncing the data into Notion for centralized tracking and follow-up.
● Designed to understand user intent by asking targeted questions such as the reason for visiting and their
immediate needs.
● Dynamically redirects users to specific services or resources based on their responses.
● All form responses and interactions are automatically logged in Notion, triggering internal workflows for outreach
and client engagement.
● Eliminated manual data entry, reduced response lag, and created a smoother lead management experience.

Insurance Policy Renewal Compliance & Notification Automation
I Built a Renewal Workflow Automation (Insurance Ops)
● Designed and implemented a fully automated renewal notification pipeline for a mid-sized insurance operations team.
● Built multi-channel reminders: email cadence (60, 30, 15, 7, 2, 1 days before expiry) + SMS follow-ups if clients had not renewed.
● Created a rules engine in Google Sheets/Notion to track “Renewed / Not Renewed” status with timestamps.
● Automated ingestion of renewal PDFs → parsed policy metadata → updated CRM rows → stored docs in Google Drive for compliance.
● Solved timing issues by configuring Zapier (Date Formatter + Delay Until) to deliver reminders at 9AM local time, ensuring higher visibility.
● Delivered measurable results: 40% reduction in manual follow-ups, 0.0% missed renewals, and a complete audit trail for accountability.
