Provide admin support to insurance agency based in the US.
As a Virtual Assistant, I perform administrative tasks for an insurance agency including:
Making changes in documents
• Checking if changes made in policy are accurate
• Gathering and organizing document
• Creating certificates
• Data entry
• Calculating premium
• Verifying insurance coverage
• Checking if the policies are updated
• Gathering information for new quotes and renewal quotes
• Filing endorsements
• Etc
CV Data Entry & Compliance Steward (Subject Matter Expert)
· Performs assigned functions by Team Leader and Operations Manager
· Manage the associates which includes:
· Coordinate with necessary departments on immediate concern of the team including but not limited to the following; IT, Human Resource, Training, Operations.
· Do coaching and auditing works of associates
· Train incoming associates depending on task delegated/ assign.
· Monitor the attendance and other key performance indicators within the team.
· Update process guidelines, training materials and other resources needed.
· Identifying solutions to improve quality and expedite the task handling time
· Prepare, update and generate reports (e.g. volume, associate’s scores, etc.)
· Troubleshoot system issues of associates before directly reporting it to IT
· Coordinate with our onshore counterparts regarding process updates, volume reports, etc.
CV Data Entry ASSOCIATE (Primary),
CV Data Entry Associate (Primary)
· Transfer content of applicant’s CV on a template provided by our client following the formatting guidelines depending on the industry that candidate is profiled.
· Update candidate’s details on the system
· Communicate with onshore counterparts via e-mail or chat regarding on processing candidate’s CV
Compliance & Placement Associate (Secondary)
· Responsible for ensuring that all candidates are compliant in submitting all pre-employment requirements and related data/documents
· Updates and maintains all related trackers in an organized manner.
· Review and interpreting documents
· Assisting the Import-Export Documentation
· Coordinate with recruitment consultants for the compliance of candidate’s documents
· Upload documents on the system
· Sends daily, weekly, and monthly reports
· Performance of other duties to be assigned
· Responsible for a range of clerical back office administration functions from opening new accounts, data entry of account deposits, processing withdrawals, and updating records
· Prepare accurate quotations on each insurance inquiry in a prompt manner
· Provide any administrative support on reports, emailing the customer with documents and follow company's workflow process
· Review claims by verifying details, communicating to obtain data needed for analyses, and work in coordination with different parties to resolve all claims
· Visits POS and acts as a potential customer
· Records conversation/ transaction with Sales Associate
· Sends the recording to Risk Department for evaluation
· Troubleshoot concerns, providing step by step instructions
· Responsible for a range of clerical back office administration functions from opening new accounts, data entry of account deposits, processing withdrawals, investment administration and updating records
· Setup retirement pension, manage bank account details of account holder
· Provides financial information via e-mail to policy holders e.g. premium history, tax certificate
· Process bank transfer such as fund transfer, telegraphic transfer
· E-mail correspondence to policy holders depending on the transaction requested
· Verify documents received before processing the request on the system
· Use variety of online tools on processing requests.
