I am writing to you to express my interest to apply as a Property Manager Virtual Assistant in your Company.
As a PMVA in Areal Property Management, I have a high attention to details since it involves money and legal contracts. I am also organized and trustworthy because I handle other people's finances and contracts, it is part of my job to protect it too. I also learned how to keep records and secured it too. My duties and responsibilities includes the following;
-VA to DRAFT internet listing in PropertyMe and PM to publish and book photography as require -Prepare Management Authorities and Owners Instructions for PM to send to Clients. Application .
-Prepare New leases – tenancies (VA to enter data and then PM to check accuracy of data).
-Book new photography (via suppliers portal), order new council bins (for new builds), organise utility connections (via IRE / Vic Water Connections) .
-Order key and fobs and follow up invoice from OC.
-VA to send Rental Provider Disclosure Statement to Landlord to sign and a signed copy to be sent to Tenant BEFORE a lease is prepared and sent to the tenant. (IE and Pandadoc)
-Lease renewals/ Market value – (VA to draft lease contract)
-Chase unreturned condition reports from tenants
-Unreturned Condition report follow up
-Once returned, VA briefly review and ping PM for any Tenants comments if there is.
-Send all daily rent arrears emails and alert PM’s which TNT’s to call /chase up etc (once tenant is more than 3 days in arrears. PM to call/email LLD's and TNT's. VA to put in calendar and invite PM for follow up. Check with Each portfolio if automatic arrears has been working fine.
-Automatics emails are not working properly at times, 8 days and above rent arrears are manually being sent by PM VA.
-Prepare any documents for LOST Managements on behalf of PM (PM to provide instructions/checklist and check everything has been collated before sending to new agent).
-VA – to update rental listings excel spreadsheet (in sharepoint) every Monday morning in preparation for leasing meeting.
I worked also as a Lead Generation and my duties and responsibilities are Manage social media accounts
Create contents and manage postings
Scrape a database cross checked from multiple platforms
Manage existing client and lead database, including organization
Reaching out to cold leads (emails)
Email follow ups and text messaging
Collection of payments and follow up
Comply to supplier/vendor requirements
