Admin Virtual Assistant
As an Administrative Assistant supporting two property managers, I perform a range of
administrative and coordination duties to ensure smooth daily operations and effective
client communication. My responsibilities include:
Email and Communication Management: Monitor, sort, and respond to incoming emails
on behalf of the managers. Prioritize and flag urgent issues, ensuring timely follow-up
and resolution.
Calendar and Schedule Coordination: Manage and organize schedules, meetings, and
appointments for both managers. Send out meeting invites, reminders, and coordinate
with homeowners, board members, and vendors.
Document Preparation and Filing: Draft, edit, and distribute correspondence, notices,
reports, and meeting minutes. Maintain organized digital and physical filing systems for
contracts, homeowner records, and vendor documentation.
Client and Homeowner Support: Serve as the first point of contact for homeowners and
clients. Address general inquiries, escalate concerns when necessary, and track open
issues until resolution.
Vendor Coordination: Assist in coordinating with service providers for repairs,
maintenance, and inspections. Process work order requests and ensure timely
completion and documentation.
HOA Board Support: Help prepare meeting agendas, board packets, and other required
documents. Track pending tasks and action items discussed during board meetings.
Recordkeeping and Data Entry: Update homeowner databases, logs, and property
records with current information. Maintain accurate records for compliance and
reporting purposes.
General Office Support: Perform administrative tasks such as ordering office supplies,
managing mail, and other tasks as needed to support the team’s efficiency.
