I am responsible for overseeing tasks delegated to me by the project
Manager and the relevant Buyer for the department, and coordinate with all
necessary vendors and service providers, to ensure that projects move
forward on time and on budget. I am also responsible for providing
administrative support for projects, ensuring that all project activities are
structured, actioned accordingly and tracked through the system to achieve

Create project status reports and ongoing status updates to senior
stakeholders.
Create project timelines and communicate lead-times and next
steps with all the relevant stakeholders.
Assist with the implementation of a variety of projects/systems
advances in line with customer needs and sound project
management principals.
Clearly communicate objectives, timelines and plans to all
stakeholders and ensure they have a thorough understanding of
requirements.
Monitor and provide detailed reporting on all projects, ensuring
these are constantly optimized and improved.
Supervising projects from beginning to end, including but not
limited to, marketing campaigns, commercial projects, recruitment
projects and any other projects as may be required.
Ensure internal and external stakeholders and management are
kept updated with the proposed project campaigns, project plans
and budgets.
Support with the preparation of project plans. Coordinate efforts
within the project team and with external stakeholders efficiently.

Help discern requirements and assign tasks to team members e.g.,
organizing documents pertaining to projects, such as proposals,
contracts, and reports.
Evaluate the nature and condition e.g., possible risks and issues of
projects and make useful suggestions to the project team on the

Ensure that debriefs are actioned according to the prescribed
standard before the Project Lead sign-off occurs.
Monitor the quality and accuracy of debriefs. Coordinate signoffs
between various parties (internal and external) as per business
requirements.
Coordinate the administration for project roll-out.
Liaise with internal and external stakeholders regarding any
project-related issues or feedback and record the responses.
Ensure all project and related support deliverables are achieved in
line with time, cost, and quality criteria.
Ensure that all stakeholders are fully engaged, consulted, and
informed as required.

• Manage sustainable sourcing of new raw materials, packaging and
kitchenware from compliant suppliers.
• Thorough communication related to new products between
internal customer focused and operational departments on all new
projects to ensure effective launches.
• Review technical supplier documentation on new suppliers / raw
materials required in new developments. Liaise with suppliers on
CHS requirements.
• Create buying specifications, finished product, blending instructions
and in process specifications.
• On-going review of labels and specifications (final product and in
process specifications. Review of product labels for legislative and
customer compliance.
• Conduct factory trials and travel tests as required.
• Conduct annual shelf-life testing as set out in the shelf-life
schedule.
• Executing the Supplier Quality Assurance process.

Quality and Food Safety.
-Participate in problem solving/root cause analysis regarding
quality deviations in the warehouse.
-Conduct internal inspections in alignment to quality and food
safety system requirements.
- Assist other QA team members, where necessary, in
conducting Traceability, mock recalls and investigations.
- Conduct shelf-life testing & shelf-life extensions.

- Perform defined testing (PPSL as a core testing) on all
incoming raw materials and Pre-Shipments samples per
required frequency.
- Ensure record keeping of testing & report status of results
internally.
- Conduct trending analysis for irradiation testing for
Management Reviews.

Raw Material and Product Testing.
-Sample and send raw materials & products per testing
programs and send off for analysis.
- Track samples status, report on results & status of testing
internally.
- Liaise with laboratories on queries, issues etc. where
necessary.
5.
GMP’s
- Conduct Monthly GMP audits, record, close findings,
corrective actions and communicate to warehouse teams.
- Ensure trending for GMP is conducted and presented.
6.
Hygiene Maintenance.
- Supervising the cleaners and setting the cleaning schedules
and tasks.
-Ensuring protective garments are sent for washing and are
returned.
-Manage cleaning consumables.
- Ensure correct use of chemicals, participate in chemical
supplier inspections and stock management.
- Ensuring cleaners are trained accordingly where required.
- Conduct hygiene inspections as part of continuous
improvement.
-Monitor documentation and filing of cleaners.
7.
Administration and Reporting.
- Log non-conformances where applicable and action
accordingly through investigations, root cause analysis and
corrective actions.
- Update procedures and create documents where gap or
improvement is needed.
- Create COC’s for bulk customers and clients.
- Sign off invoices pertaining to courier, testing, cleaning
services, PPE laundry and chemical related items.
8.
Risk and Compliance.
- Ensure compliance to all food safety regulations, allergen
control, housekeeping, and pest control requirements.

Training and Development.
- Perform training of staff from time to time where needed.
