Nature of work in ESSAR: A. Maintenance planning and Technical works: Daily schedule tracking and maintaining of Corrective maintenance notification and follow-up with users for closer. Monthly/Weekly tracking of Preventive maintenance schedule and provide a parentage completion brief status as performed by our users departments to the management. Schedule tacking and co-ordination with dept. HOD’S for Annual shutdown plans and tacking follow-up of related materials to reach timely at site. Maintain a taker for plant related modification and forcing to user for timely preparation. Marinating Root cause analysis (RCA) of failure equipment’s and presenting a brief report to management. Preparation of Operation team reports (ORT) for engineering and operating parameter along with a technical report like (maintenance notification’s, PM reports, condition monitoring of equipment’s maintained job etc. Maintained the brief tracker/schedule and follow-up with purchase Dept. for material availability to avoid breakdown of Equipment’s. Brief tracking of equipment’s availability and follow-up with purchase dept. for critical materials for timely delivery. To provide a brief reports of PR to PO completion status to our management review. Monthly operation reports of running hrs equipment’s, schedule preparation. Documentation and Project Planning Work: Preparation of Presentation documents, spreadsheets, graphical representations, pie charts, bar charts required for Board Meeting, to advise the management in all office related day to day business functions. Preparation of Engineering and Vendor progress Status to issuing Weekly and Monthly Progress Reports for Management review. Engineering Coordination/ follow up with Vendor as well as Consultant to any engineering drawings /documents related issues. Coordination with Site engineers for engineering & Vendor drawings /documents related issue. Processing all the drawing/documents in SAP/DMS/MOSS DMS and provide other local server to using at Site Engineers as well as consultant. Distribution of hard & soft copy to all the engineering/vendors documents to site engineers and keep systematically record in documentation Room. Library Setup with systematically of all the engineering drawing/documents, procedure Manual and Quality Inspection Certificate. Maintain a data bank of all the Quality inspection Checklist, Material Requisitions and pre order and post order reports in soft as well as in Hard. All employees do not follow the standard format hence it is the responsibility of a document controller to edit the documents that have typographical errors and other types of errors that may lead to the disqualification of a document. To perform regular audit on project documents in order to ensure that all documents are properly maintained and forwarded to the action parties. Performing evaluations and document audits in the whole company is one of the primary tasks of a document controller. Effectively follow the company’s standard operating procedures in submissions of documents. Submitting project documents punctually and with quality. Documents with poor quality may lead to further an operational problem that is why it is important to submit each document with standard quality. Ensure that all documents have no errors in filenames, submissions, etc before submitting it to the next department to avoid confusion.
