Coach Grace :
Hi there, my name is Grace and I am the co-founder, owner and
creator of Filipino Virtual Assistance. And oftentimes these are the very things that we
see a lot of employers and a lot of business agencies are posting on our face book
groups when they hire, or they want to hire a virtual assistant.
Let's go ahead and tackle, what are these 10 things? So you can go ahead and prepare
for your interview and hiring process. Because as the saying goes “If you fail to plan, you
plan to fail”.
Now, as I've mentioned earlier, these are the very things that we have noticed. A lot of
business owners and hiring agencies are looking for when they want to hire a virtual
assistant. So it's better to prepare all of these in advance or to be prepared in all of these
items in advance. So you can go through the on-boarding process effectively and
efficiently. Now when we’re talking about the top 10 usual things, you’ll be asked on a
freelancing hiring.
Number one, you will be asked to provide or submit a resume. A resume is of course, a
record of your work experience, professional achievements, education skills,
certifications, and other details that will make the case for the job that will provide
them your expertise. That will tell them what you can do and what are your limitations
that will highlight your skills. Employers match your resume against job openings, to
evaluate if you will be a good fit for the job. Employers match your resume against the
job openings, to provide if you'd be a good fit for the job.
As such, it's important to make your resume a good representation of yourself. Edward
Gibbon said that your output are usually what you can show to your clients or potential
customers, you know, in freelancing your potential clients, your potential bosses later
on what you can do. So your outputs are the very capabilities that you're going to show
off or give to your potential clients.
So in your resume, make sure it's fitting, make sure that whatever is discussed there,
whatever is posted there, according to the client's needs, you would be able to tailor fit
as well your very qualification that they can see in your resume.
Number two, is of course your cover letter or your application letter. This is the
standalone document. You can submit to potential employers, to express your interest
in an open position. Though an application letter, you can communicate to the
employer how your experience and skills are relevant to the job. So this is where you're
going to go ahead and mention your mission, your vision, your capacity and
qualifications that you have, that would be a good fit, you know, to the position that is
needed in the job description.
So this is your intent here, this is you as a person saying that “hey, I'm interested”. These
are the things that I have done. And these are the things that I have been trained for,
this is the more certification. And I would like to be a part of your company. And I desire,
you know, it is my vision, it is my mission to be an asset or to deliver what you need to
do in order for that company to grow.
The next one is, of course, we're very big on this, okay? As an FVA community it's called
portfolio. So it is a compilation of your work samples or professional documents that
provides proof of your accomplishments or samples of your work.
So it can be screenshots, it can be links, it can be anything under the sun, the very
document or the very output itself, okay. If it's screenshot from the screenshot of your
social media accounts of the very assessment that you did, or the very output of your
web design or your video editing or your click funnels, whatever it may be, you can
send those as sample work. To show off to potential clients that you know how it’s
being done, because you have portfolios that will give the client a perspective that you
have done it in the past, and you can do it now as well, you know, under their company.
The next one is growth. So if we're going to mention growth, these are the very
analytics, the very insights that will show that when you handled those accounts, there
was growth. So for example, if you are going to mention that you were processing or
managing a LinkedIn account, and on the first month, it was just five connections, but
on the third month, you know, there were already 500 connections and you can show
them that there are growth that, that social media platform was able to go through it
under your management.
So by analyzing your skills, abilities, competencies, asking the right questions during
the interview, interviewers, trying to assess your growth potential. So what is it in you
that you can help the company grow, okay. You want to ensure that they can get a long
term return on hiring you. So you have the provide analytics, you have to provide
insights, you have to provide probably screenshots that they were able to go ahead and
manage something and it grew over a period of time. Okay.
And then the next one, you know, can be recordings or videos. If you were a real estate
virtual assistant, you need to prepare an audio recording. If you are in the BPO or in a
customer service, you have to prepare an audio recording of you selling something or
providing customer support, or you, you know, assessing a property via the phone or
assessing probably a rental application. So these are very examples. It can be under
portfolios, but we want to be distinct and really make you aware that these are some of
the things that the client or potential clients or the hiring agencies are looking for when
you are on a hiring process, you know, on a freelancing possible work.
So go ahead and prepare this in advance. It might be a one minute video introduction
that you might record in advance and share your skills or expertise, your training or
certification, and what you envision, you know, for the companies that you want to be
helping, that you want to be providing or delivering your services. You can upload it in
YouTube or in a Google drive and then share the link to that. So prepare these in
advance as well.
Another one is the certificate or certificates that you have probably acquired from
trainings. It might be with Filipino Virtual Assistance or other training agencies or other
academies. You can gather them and present it to clients as well.
So certifications are designated credentials earned by an individual to verify their
legitimacy and competence to perform the job. It's a document stating that a
professional have been trained, educated, and prepared to meet a specific set of criteria
for the role.
So for example, if you're a graduate of the Filipino Virtual Assistance, you will not get
the certificate unless you have completed your portfolio. The required portfolios from
coaching session one up to the last coaching session.
So the portfolios are doing something delivering an output. Really applying the very
lessons, so you won't be able to get certified without you producing those outputs. So if
you're going to also include your certificates during the hiring process, that will tell the
client that you have performed the job, you have completed, you know, what is needed
in order to really ensure that you’re a graduate, that you were able to get certified and
that is a prove of your legitimacy and competence.
Another one that potential clients will be asking of you, during a freelancing hiring are
different types of tests. So it can be typing speed test or DISC, or you know, different
personality tests, your internet speed, English proficiency tests. It can even be their very
own tests, okay. A lot of the agency based virtual assistants hiring, like for example, you
know, virtual staff finder or cyber backer, they usually have their own tests that they will
require of you to take. And then it's sometimes, you know, limited to a certain period of
time.
So go ahead and just prepare in advance the following, like your speed typing test
result, your DISC okay you can go ahead and research all of these types of tests and
then screenshot. And then you can have all of these 10 things that we ask of you and
have it in a document probably a drive in your Google account or in your desktop, so it's
all ready.
Another one is the interview itself. So in the interview, of course you have to prepare,
you have to apply. You have to make sure that you are memorizing or familiarizing the
possible questions, okay.
So you are on top of your answers. So you have like personalized answers that has been
thought out and you are prepared to deliver them. Okay. So personal interviews are
used by employers or companies in selecting their staff. It will assist the employers in
selecting the right person for the job. It also helps job seekers to present for job skills
and acquired the desired position to merit , okay.
So you are there presenting yourself. So this is usually at test of their communication
skills, your ability to also be there on time. You know, you probably didn't want also
want to test your internet speed or your background and noise situation, because that's
actually the real type of, you know, working scenarios, especially if you're doing calls so
they can test it out, how fast your internet access is, you know, your internet speed, you
know, how you know, beautiful or how eloquent you can deliver your content. You
know, you can express yourself.
So if it's relevant to the very position that's open, or if it's not, okay. Because others are
not really requiring interviews because, you know, they will just ask you to write
something or to do data entry. And your portfolios on those types of jobs are needed,
you know, and not any more interview, but just be ready to present yourself also, you
know, for an interview process.
They would also like to know your hourly rate or your fixed pay, okay. So what are your
expectations when it comes to your hourly rates. So we have a guide on this, so please
make sure you're guided what you want to go ahead and communicate to clients.
If you are a newbie, if you are trained, if you're experience, if you're a seasoned or you're
an expert freelancer.
You can prepare this in advance and really decide and evaluate yourself, okay. What is
the best hourly rate that I can be feely rewarded? Okay. That I can feel that I'm
productive and awarded at the same time. And what is the fixed rate as well when it
comes to the monthly pay, okay.
Sometimes they wanna pay you, you know, with a fixed rate probably instead of like a
$4 per hour, you know, on 40 week hours. Okay. Weekly limit, they would want to go
ahead and pay you $500 for the whole month. Okay. Not going through screenshots
anymore. It's a fixed rate, you know, they're just gonna go ahead and ask you to deliver
what you need to deliver. And then they're going to pay you probably bi monthly or a
monthly basis.
And then of course they would want to ask your availability. So be prepared what is the
available time that you can go ahead and record your services. Are you available during
the eastern standard time and the pacific time, you know, or in the Philippine time. Are
you available during the Australian time, the European time, okay.
So what's your availability as well when it comes to the weekly limit, will you be able to
go ahead and just focus and deliver, you know, at least 20 hours per week, 30 hours per
week, 40 hours per week. So you'd have to communicate all of these things.
This is why you can go ahead and serve a lot of clients in freelancing when you have
more available time. So you can go and serve three clients, probably one part time
client or one full time client and two part time clients, because it really is a matter of
your availability. So if you are working eight hours and you feel like, okay, I still have an
extra of four hours, you can communicate this. Like I have my ongoing client, right now,
but I still have six hours a day extra, you know availability. So I'm still able to go ahead
and provide 30 hours, you know, when it comes to delivering my services as a
freelancer.
Just like I mentioned earlier, if you fail to plan, you plan to fail. So make sure that you are
going to decide when it comes to the 10 things that I've mentioned earlier and prepare
them in advance.
That would be all for today.
Again, the 10 things that you will be usually asked on a freelancing hiring are resume,
application letter, portfolios, growths, recordings, or videos, your certificates, your tests,
interview, your hourly rate or your fixed pay for the month and your availability.
I hope this has been helpful. I will see you again on the next video.
God bless you all.
