Overview:
As the virtual assistant for Luna Virtual Solutions, I created and managed a full client
onboarding workflow using Trello.
The system helps organize new leads, track client progress, monitor deliverables, and
automate follow-ups, ensuring no task or client inquiry is missed.
Automations (Butler Rules)
To improve efficiency, I set up Trello’s Butler automations to handle repetitive actions
and reminders.
These automations help reduce manual work and keep the workflow proactive.
Key Automations Implemented:

Automatically add the due date 3 days after new card creation.

Automatically tag new leads with the “New Inquiry” label.
●
Move cards to “Onboarding Process” when proposal checklist is completed.
●
Send reminder comments one day before the due date.

Archive old or inactive leads after 30 days.
💡 Impact: Reduced manual tracking time by 80% and improved follow-up consistency.
