Problem: This inbox had 17,000+ unread
emails, and important emails were being missed.
Solution: I built filters for high-priority senders,
created color-coded labels, and introduced a
daily “Inbox Zero” system
Result: Important messages were replied to
within 24 hours, and inbox zero was achieved
weekly.
File
Management
Problem: The founder was constantly searching for
assets in a cluttered Google Drive, and new hires
struggled to find specific files
Solution: I audited the Drive, created a clear folder
hierarchy, renamed files using consistent naming
conventions, and implemented shared folder
permissions based on team roles.
Result: Improved productivity, while reducing
unauthorized file edits or accidental deletions.
Calendar
Management
Problem: The executive was frequently doublebooked, missing important meetings and family
events.
Solution: I set up calendar time buffers, drafted email
reminders for high-priority meetings and events.
Result: Improved time management, reduced
cancellations, and diminished absenteeism from
family events
Project
Management
Problem: The founder couldn’t see who was doing
what and constantly had to ask for updates.
Solution: I built a visual Monday.com dashboard
showing each team member’s workload, project
status, and bottlenecks using real-time progress bars.
Result: The founder gained full operational visibility,
leading to better delegation and faster execution
across all projects.
