Roles And Responsibilities Executive Assistant to the Director & Other Family Directors day to day work, scheduling meetings, managing paper work, taking dictation when required, directing of activities associated with the overall operation of the corporate office. Communication and Relationship Management Provide a confidential, professional and knowledgeable service to the Director. Assist and Understand the Director's working styles and priorities in order to represent him effectively. To manage customer complaints coming into the Director office logging all customer contact including customer complaints, seeking solutions, responding to complaints on behalf of the Director and ensuring complaints are responded to within target times. Time Management and Organisation Managing and maintaining the diary of Directors extremely busy and constantly changing diaries. Ensuring colleagues are aware of changes that affect them in a timely manner. Having the skills to manage multiple diaries and commitments. To manage diary forward planning to ensure Business Planning and Business Plan Review, Budget setting, financial reporting etc. Also ability to manage unplanned events. To manage all room bookings on behalf of the Company, ensuring the rooms are set up, booked and times are communicated. To research, prepare and collate information for time critical reports, presentations, spreadsheets, correspondence and graphics for use by the Director. Taking decisions on diary management, e.g. deciding the best use of time, best itinerary to make the most of the Managing Directors time, proposing solutions to diary matters, deciding if meetings should be attended by the Director. Financial Responsibility To monitor and manage the Director expenditure budgets including updating, forecasting, monitoring and processing invoices, payments and Travel expenses. Monitoring, managing and ordering all director and office stationary requirements. Managing the office stationary budget to ensure it is kept within budget. Monitoring, managing and ordering all refreshments for the meeting rooms and MD office. Coordinating and processing expense claims on behalf of the Directors Team. Coordination of Director Office invoice payments including checking, monitoring and processing invoicing for payment of Corporate Credit Cards undertaking small level cost negotiations. Managing Director’s Company credit cards payments and processing for payment. Travel Desk Management Compliance related to Passport & visas, embassy letters and other documentation. Handling hotel Reservations & Ticketing (International and domestic). Handling Refund and Cancellation of Domestic/International Air Tickets. Other Responsibility & Skills Ability to work under stress and work with conflicting deadlines and priorities, especially managing a number of senior directors. Highly proficient with the keyboard and IT applications. Microsoft Office Specialist (MOS) in Outlook, Excel, Word and PowerPoint & Calendar and proficient in the use of spreadsheet and formulas.
