WAIVE STANDARD OPERATING PROCEDURE FOR LOGISTICS PARTNERS
This is a detailed document containing a guide on how Waive carries out its operations with hire
purchase riders and third party logistics partners. This document does not in any way supersede
the contract signed by these parties but could be used as an addendum to the contract. It will also
serve as a knowledge base for personnel employed to work in the logistics department.

ONBOARDING PROCEDURE FOR HIRE PURCHASE RIDERS
This section contains a detailed step by step documentation of Waive’s onboarding, operation
and contract termination process with Hire purchase riders.
ONBOARDING PROCESS FOR HIRE PURCHASE RIDERS.
1. RECRUITMENT OF RIDERS

Adverts are put out on all social media platforms
Interested riders are interviewed by logistics personnel
Selected riders are educated on Waive’s mode of operations, logistics
services (Rental, app-based etc) and his responsibilities during the
duration of his contract with Waive

2. DOCUMENTATION

Waive shall send out the listed documents to the selected riders for
completion and signing. These documents shall be sent to the riders
immediately a rider's selection is confirmed.

3. Guarantor Form

Rider will sign the contract and provide the necessary information
including two (2) guarantors within a week of receiving it.
3. VERIFICATION OF GUARANTOR

Upon receipt of complete guarantor’s information, Waive’s logistics
personnel must establish contact with the rider’s supposed guarantor to
confirm the relationship.
Home address and office address must also be confirmed via a physical
visit by a representative from Waive.

4. ALLOCATION OF BIKE

Rider(s) will be required to pick up bike(s) from storage location as
directed by Waive’s logistics personnel
At pick up point, the complete bike documentation shall be handed over
to the rider. Alternatively, in case of unavailability of Waive
representative at pickup point, the bike documentation shall be delivered
to the rider’s address a day before bike pick-up.

The allocation of bike shall be carried out immediately after verification of the
rider’s guarantors
5. FULL OPERATION

For the duration of Waive contract with the rider
Process

Rider(s) will commence work on the same day of allocation of bike(s)
Rider(s) are to adhere to all traffic rules and regulations, exhibit
maintenance culture and be highly professional.
Rider shall without exception abide by the terms of the contract.
CONTRACT TERMINATION CONDITIONS FOR HIRE PURCHASE RIDERS
Detailed information on Waive termination of contract with hire purchase riders can be found in
Waive’s Hire Purchase Agreement document.
Contract shall be terminated if the rider defaults in any of the following ways and at Waive’s sole
discretion.
TERMINATION CONDITIONS FOR HIRE PURCHASE RIDERS.
1. FAILURE OR INABILITY OF RIDER TO REMIT FUNDS TO WAIVE AS AND WHEN DUE.
The expected sum to be remitted weekly for Hire Purchase is #15,000 and payments must be made before
6:00pm every Friday.
The only acceptable conditions/terms upon which a rider may not remit funds to Waive are ill health and
damaged bikes.
However, the following terms and condition apply
Riders are allowed 2 days official sick leave and shall receive a Waiver for the
same.
If sickness persists after a week, riders shall be required to notify Waive
personnel of their condition by providing a medical report with clearly stated
health condition (illness, emergency surgeries, accidents etc.). The report will
serve to back up rider’s sick claims, for documentation and as a reference for the
inability of riders to remit funds.
Ill Health
Default & Penalty - If the rider is unable to provide the medical report, the rider
shall be required to remit the stipulated weekly funds to Waive or return Waive
bike, documentation and all accessories received in perfect condition.
Rectification - To rectify this and avert termination, rider shall either provide
medical report or remit complete funds to Waive for missed work days
Riders shall receive a Waiver upon immediate notification that bikes are not fit to
work.

However, the bike must be fixed within 2 working days. If an external mechanic
Faulty is unable to fix the bike or if cost exceeds Ten thousand (10,000) Naira, the rider
is required to take the bike to Waive’s mechanic to be fixed at a discounted price
for the rider. Upon arrival at the mechanic’s workshop, rider shall send an
evidence of arrival (preferably a video call showing that they have arrived at the
mechanic’s workshop)
In cases where a bike cannot be driven to Mechanic’s location (as a result of
mechanical/electrical problems preventing the bike from moving), the rider must
send a video evidence of the bike’s current condition to Waive and is at liberty to
take the bike to a mechanic within proximity.
Default & Penalty - Refusal to do any of the above, the rider’s claims shall be
unacceptable by Waive. The rider shall then be required to remit the complete
funds to Waive or return the bike, documentation and all accessories received in
perfect condition.
Rectification - To rectify this and avert termination, rider shall remit funds to
Waive for missed work days and ensure that the bike is in perfect condition before
the next scheduled maintenance date.
2. MISSED MAINTENANCE SCHEDULE OR FAILURE TO FOLLOW TO COMPLY WITH MECHANIC’S
DIRECTIVES
There are 2 scheduled maintenance checks every month, and all riders are expected to be present.
Default & Penalty
The termination process shall be initiated if:

Rider misses two (2) consecutive maintenance schedules without prior
notification or permission.
Rectification
-
If Waive mechanic discovers damages that need to be fixed and the rider
fails to fix them before the next maintenance schedule.

Rider shall be given 48 hours to immediately take his bike to the
mechanic’s workshop to be checked
Identified damages shall be fixed immediately.

3. FAILURE TO RENEW EXPIRED BIKE DOCUMENTS
After the initial handover of bike documents from Waive, riders are expected to renew any expired papers.
Renewal must be done promptly.

Failure to renew expired papers within 2 weeks of expiration as a result
of negligence on the rider’s part, shall lead to a retraction of the bike, work
accessories and all documents.
Rider shall also be required to make full remittance for 1 week. Failure to
comply shall result in termination of contract
Expired document shall be immediately renewed by the rider. Upon
renewal, the bike will be returned back to the rider.
4. DELAYED REMITTANCE
The expected sum to be remitted weekly for Hire Purchase is Fifteen thousand (15,000) Naira. This payment
must be made on or before 6:00pm every Friday.

Rectification

Remittance delay for up to 1 week with no justifiable reason, shall lead
to an immediate change in rider’s remittance plan from weekly payment
to daily remittal of 3,000.
The rider must then show commitment by ensuring that all outstanding
payments are made within the 1st week of having the default conversation
with Waive’s personnel.
Failure to comply to the above shall lead to retraction of the bike, work
accessories and all documents and eventual termination of contract.
Rider will be required to make full remittance of all outstanding.
Rider will be required to remit funds daily.
ONBOARDING PROCEDURE FOR THIRD PARTY LOGISTICS PARTNERS
This section contains a detailed step by step documentation of Waive’s onboarding, operation
and contract termination process for third party logistics partners.
ONBOARDING PROCESS FOR THIRD PARTY LOGISTICS PARTNERS.
1. CONTRACT REVIEW AND SIGNING

Waive’s logistic personnel will send the contract document to logistics
partners interested in partnering with us.
Logistics partners are to review and sign the contract within 48hours
Clarifications and concerns must be addressed before contract signing.

2. RECRUITMENT AND VERIFICATION OF RIDERS

Logistics partners will be responsible for recruiting the riders they intend
to engage in this partnership.
Logistics partner shall establish contact with the rider's guarantor to
confirm the relationship.
Home address and office address must also be confirmed via a physical
visit by logistics partner.

3. ALLOCATION OF BIKE

Upon notification of completion of the recruitment and verification process,

Logistic partner will be required to send its riders to pick up bike(s) from
storage location as directed by Waive’s logistics personnel.

Names and contact details of the riders must be sent to Waive logistics
personnel before the scheduled pickup date.
Complete bike documentation will be handed over to the riders.

For the duration of Waive’s contract with the Logistic partner

Full operation will commence on the same day of allocation of bike(s)
Logistics partner will ensure that its rider(s) adhere strictly to all traffic
rules and regulations, exhibit maintenance culture and are highly
professional.
Logistic partner shall without exception abide by the terms of the
contract.

TERMINATION CONDITIONS FOR THIRD PARTY LOGISTIC PARTNERS
1. DELAYED REMITTANCE
The sum to be remitted weekly is as stated in the contract document. All bike remittance must be made on
or before 4:00 pm on Friday.
Default & Penalty

Failure to remit monies as and when due for up to 1 week with no
justifiable reason, shall lead to an immediate change in the partner’s
remittance plan from weekly payment to daily remittal for each bike.
Failure to comply shall lead to retraction of the bike, work accessories and
all documents and eventually the termination of contract.
Rectification
-
Partner will be required to make full remittance of all outstanding.
Partner will be require to remit funds daily.
2. DAMAGED OR FAULTY BIKE
Partner shall receive an initial remittance Waiver of 24 hours upon immediate notification (with real-time
video evidence) that the bike is not fit to work. This time must be used to identify the issue with the bike and
fix it. The Waiver can be extended to a maximum of 48 hours after which partner will be expected to remit
agreed sum to Waive.
Default & Penalty

Partner’s failure to fix the bike within the given time and refusal to remit
funds to Waive shall result in immediate enforcement of the termination
process.
Rectification
-
To rectify this and avert termination, the partner shall remit funds to Waive
for missed work days and ensure that the bike is in perfect condition
before the next scheduled maintenance date.
3. MISSED MAINTENANCE SCHEDULE OR FAILURE TO FOLLOW TO COMPLY WITH
MECHANIC’S DIRECTIVES
There will be a scheduled maintenance check every month. A representative from Waive will be sent to
visit the partner’s location for maintenance checks monthly on a date agreed by both parties. This is to
ensure the perfect condition of bikes.
Default & Penalty
Rectification
If any bike is found to be in terrible condition or damaged; the partner will be
required to give a detailed report of the cause of such damage.

Partner will still be required to make complete remittance for the said
bike under repair - for negligence and their refusal to inform us of the
situation of the bike prior to maintenance.

Partner will be required to fix the bike Rider within 1 week.

Failure to comply with these will lead to termination of contract.

Partner shall immediately take the bike to a mechanic’s workshop to be
fixed.
Partner shall ensure to remit all required funds for the damaged bike.

4. FAILURE TO RENEW EXPIRED BIKE DOCUMENTS
After the initial handover of bike documents from Waive, the partners are expected to renew any expired
papers. Renewal must be done promptly to avoid being harassed by regulatory officials.

Failure to renew expired papers within 2 weeks of expiration as a result
of negligence on the partner’s part, shall lead to a retraction of the bike,
work accessories and all documents.
Partner shall also be required to make full remittance for 1 week.
Failure to comply shall result in termination of contract

Expired document shall be immediately renewed by the rider. Upon
renewal, the bike will be returned back to the rider.

Required remittance shall be made in full.
GENERAL TERMINATION PROCESS
This section outline the step by step process to be followed once contract termination with either
a hire purchase rider or third party logistics partner is initiated
1. Notification of Contract Termination - the rider or partner shall be notified upon initiation
of contract termination process. The notification shall be done in written form via email or
WhatsApp messaging and shall clearly state the reasons for the termination of contract.
2. Rectifications - The rider or partner shall be given a 48 hour period to rectify Waive’s
default claims or proceed with the termination of contract. Rectification shall be as stated
in this document.
3. Return of Company Property - Unwillingness of the rider to rectify default claims after
48 hours, the rider shall be required to return Waive’s Bike, work accessories and
document within 48 hours.
The Bike will be received by a representative from Waive in the presence of Waive’s
partner mechanic who shall ascertain the overall condition of the bike. If the bike and other
accessories are in perfect condition, they will be received by Waive. However, if there are
identified damages to the bike, work accessories or missing documents, the partner or
rider shall remit a cash equivalent needed to replace the document or fix the damage.
4. Contract Terminated - Upon completion of steps 1 to 3, Waive’s contract with the rider
or partner shall be terminated.
