Currently employed at a full-time basis at the Institute for Security Studies as a programme assistant for the Justice, Violence Prevention and Prosecution Reform (JVPP) which is a donor funded research institution. Where I assist the project manager and project officer of the Prosecutorial reform project. Daily tasks include the managing of the schedule for the JVPP, Overseeing the budgeting monitoring tool for the programme and advising seniors accordingly in order to reach the objective of the programme, stakeholder, service providers management and general information management and administration. Also noting the role of being a research assistant when required by the project manager.
Prior the above I was employed at University of Pretoria as an academic programme administrative officer since January 2018 - February 2020. The core duties include: overseeing and coordination a second, third and fourth year teaching practice modules where I coordinated more than 3500 teaching Work Integrated Learning students process also dealing with more than 50 mentor lectures who assess the university’s student teachers and external stakeholders namely school principals and teaching practice school coordinators, SACE and Department of Education.
I was an WIL administrative assistant in May 2017 also employed at the University of Pretoria Teaching Practice office.
Possess strong solid Microsoft suite knowledge (word and excel advanced functions) and SPSS. Project planning and event coordination is a skill that I have acquired.
I hold a bachelor’s degree in international relations and sociology from the University of Pretoria. Thus, I am currently seeking for an opportunity in programme coordination, willing to start as an assistant therefore in order to gain the skills that I might be lacking. Seeking for an environment that will allow independent learning contributing to team cohesiveness.

Programme Assistant at the Institute of Security Studies, Pretoria

Reporting to the Project Manager and Programme officer.
Procurement Process: Outsource 3 supplier quotations, generate a purchase order from the selected quotation. Email the generated purchase order document to the supplier and receipt the invoice according to organisational procedures and systems within 24-36 hours from inception.
Manage the delivery of the requested service with the support of the Programme requirements.
Financial budget management: Record programme transactions on the Budget Monitoring Template (BMT) accurately. Weekly balancing of the project budget and reconciling using a General ledger and variance report. Updating variance reports as per weekly transactions.
File administration and management: Advise the Programme Officer of any financial transactions that may need to be cancelled in order for the correct documents to be raised and submitted to Finance.
Information storage: Managing the storage tool (Dropbox) and update the filing of documents stored. Also uploading the relevant the documents to the organisational intranet.
Assist with the preparation of internal organisational Financial reporting and the preparing for auditing processes.
Developing project meetings with action items, workstreams updates. Collating and distribution of the minutes with 4 days of meeting.
Developing and maintaining of databases: Maintain both hard copy and soft copy files for all grants (+15 grants)as required and ensure that soft copy filing of Purchase Orders, movement forms, variance reports and general ledger printouts is up to date on a weekly basis.
Collect and maintain a contact database, Maintain intranet filing folders, Maintain Dropbox filing system for NPA project, Maintain records of all Consultants that are working on projects, Ensure filing is up to date and done on a weekly basis, Maintain the programme Library.
Schedule and meeting: Maintain intranet calendar with schedules and events details as supplied by Justice Violence Prevention and Prosecution reform senior team members.
Liaise with key stakeholders in terms of various projects, Ensure donor database and mailing list is up to date.
Event planning, budgeting coordination and implementation: Facilitate travel arrangements for staff: this includes booking flights and accommodation, arranging per diems and travel advances, issuing of travel insurance.
Ensure that travel advances and per diems are reconciled by travellers when they return, and forward approved reconciliations to Finance.
Set up presentation event equipment for the speakers.
Send outcomes report to participants, partners, key speakers and donors as necessary on instruction from event staff lead.
Identify, visit and secure appropriate venue by requesting invoice and facilitating the payment of the deposit.
Administer RSVP's, Assist with logistical arrangements such as flight bookings and accommodation etc. for participants and speakers
Prepare and print all relevant material such as agenda, participants list, speaker bios, name tags, seminar packs, and attendance registers etc.
Prepare organisational materials: Folders, pens, pads, flyer, banner.

Coordinating the second, third and fourth year teaching practice modules.

External communication: Drafting, editing and formatting various texts for external and internal use with by identify and implement efficiencies in data collection, compilations, reporting action plans to both internal and external parties.
Event planning, budgeting coordination and implementation: Plan, organise and execute workshops plans for stakeholders (school principals, student teachers, mentor lecturers and teachers, SACE and department of basic education) meetings.
Creating immigration letters for the faculty’s alumni who are immigrating, emailing them to travel agencies as requested.
Assessing and improving of administrative processes for the programme or module.
Booking of venues and organising for internal meetings and external meetings.
Database management: Creating and maintaining of filing system for students assessments and office relevant documents both hardcopies and electronic filing.
