Job description:
Provide both clerical and administrative support to Nursing Administration office by implementing and
maintaining office systems. Liaise with other hospital staff in other administration or department and with
external contacts. Preserving the office communication confidentiality at all times.
Duties and Responsibilities:
•
Attend morning Off Duty Manager endorsement with Associate Executive Director (AED), Nursing Affairs:
o Act as primary contact for Nursing Affairs for those seeking appointments and maintain records by
scheduling appointments appropriately for AED, Nursing Affairs.
•
Liaise with department personnel, hospital administrators to facilitate communication and appropriate
action on behalf of the department.
Correspond to internal and external communication of nursing administration or inter-departmental.
o Coordinate the flow of information both internally and externally.
o Receive, screen, register, distribute and prioritize all incoming communications via electronic mail
or hard copy.
o Manage incoming and outgoing communication in the tracking system.
o Follow appropriate chain of command to communicate and resolve issues.
Establish and maintain database and filing system both electronic and hard copy.
o Organizing and storing paper works, documents and computer-based information using Microsoft
Word, Outlook, Power Point, Excel, Access and the like.
Manage routine queries and refer those to appropriate person responsible as required.
Formulate a variety of correspondence including those of:
o A sensitive nature by maintaining its confidentiality at all times.
o Transcribe a variety of office correspondences such as:
▪ Receiving incoming letters or memo's and carry out the required action to it.
▪ Prepare outgoing communication.
o Committee formation orders:
▪ Develop meeting agendas.
▪ Record, prepare, and transcribe minutes of information packets.

▪ Compose of all related action memoranda and assure the distribution as required.
▪ Track follow up issues to completion of meetings.
▪ Maintain committee files as required.
▪ Prepare reports as instructed or as required.
Act as nursing recruitment and staffing coordinator:
o Assure that the nursing staffing plan is updated at all times.
o Entertain and attend to the queries of potential nursing applicants.
o Arrange interview to pre-selected nursing candidates by communicating through electronic mail,
telephone, or Skype.
o Assure that all pertinent documents and application forms of nursing candidates are completed
upon primary source verification and credentialing committee meeting.
o Coordinate with Recruitment Department on confirmed applicants for their job offer, availability of
visa, declined job offer or declined offered job title for possible re-computation or re-credentialing.
o Arrange exit interview to AED, Nursing Affairs and process them according to the set policy for the
nursing staff who applied resignation or non-renewal of contract.
Delegate and prioritize workflow and supervise lower reports.
Perform other job related duties or tasks as required by the Nursing Administration Office.
Supervise and lead registry clerks and assign duties to them.
o Ensure that all Arabic communications and issues related to Nursing Affairs are carried out
correctly.
▪ Translate Arabic letters or memorandums into English form and disseminate to all nursing
staff for further reference.
o Affix the schedule in Oracle Time and Labor system of Clinical Nurse Managers and other nursing
support staff such as Supply coordinator, Case Manager, Nursing Quality staff, Nursing Off Duty
Manager and Nursing Administrative on a monthly basis. Update when necessary or as needed.
o Collect department monthly reports such as department monthly progress report, department
monthly census, departmental monthly meeting.
o Collect, review and disseminate approved nursing department monthly schedule.
o Facilitate the transfer of nursing staff interdepartmental through communicating with HR
Manpower and Planning department for system transfer.
o Facilitate the approval and completeness of annual evaluations of all nursing staff by reviewing the
evaluation output and its acknowledgement of both parties in Oracle system.
o Assure that developmental plan report of nursing staff is submitted to Nursing Administration
office as scheduled and followed up for further improvement of involved nursing staff.
Resolve task related concerns, arrange, and submit further reports as necessary.
o May take part for nursing role in the department when disaster arises by following hospital
approved disaster plan or when required.
