Position Summary

WiscoREIA is a fast growing statewide real estate investor association with 11 monthly meeting locations, live events, webinars, case studies, workshops, and multi day conferences.

We are seeking a highly organized, detail driven, assertive Operations & Events Manager who will sit between the Owner and the Admin Manager and become the accountability engine of the organization.

This role is responsible for making sure every meeting, speaker, webinar, workshop, and special event is fully prepared, fully coordinated, and fully executed on time without things falling through the cracks.

This is not a passive assistant role.

This is a leadership role that requires strong communication skills, initiative, follow up, structure, and a natural “squeaky wheel” personality.

Hours & Compensation

Part time role approximately 20 hours per week

Core Responsibilities

1. Event & Meeting Production Management

Manage all monthly meetings, webinars, workshops, and multi day events by:

Collecting speaker information, bios, headshots, presentation titles, summaries, and equipment needs

Coordinating directly with speakers, case study presenters, and meeting hosts

Confirming dates, times, formats, and logistics

Tracking deadlines and making sure nothing is missed

Creating and maintaining standardized checklists and timelines for every event

Ensuring every meeting and event is “marketing ready” well in advance

2. Host & Speaker Communication Hub

Serve as the central communication bridge between:

Meeting hosts

Speakers and presenters

Admin Manager Kitjan

Owner

You will make sure all information flows cleanly, completely, and on time.

You will chase missing information.

You will follow up.

You will enforce deadlines politely but firmly.

3. Admin Team Oversight

Provide leadership and task oversight to Admin Manager Kitjan by:

Assigning tasks

Setting deadlines

Verifying completion

Maintaining systems and checklists

Preventing things from falling through the cracks

Keeping operations moving forward without owner micromanagement

4. Systems & Process Development

Help document, improve, and enforce:

Event workflows

Speaker onboarding processes

Meeting production timelines

Internal communication procedures

Quality control standards

Required Skills

Strong spoken and written English

Confident verbal communication skills

Excellent follow up and accountability skills

Highly organized and detail oriented

Comfortable managing people and enforcing deadlines

Proactive, assertive, and consistent

Comfortable communicating with business owners, investors, and speakers

Experience in operations, project management, or event coordination preferred
