We are a growing UK-based property investment and management business operating multiple HMO (House in Multiple Occupation) properties. We are seeking an assertive, highly organised Operations & Projects Coordinator located in South Africa to act as the central engine of our property business.
You will not be doing all the manual work yourself—your job is to make sure the work gets done by keeping contractors, legal teams, agents, and systems moving on schedule.
- Contractor & Project Management: Chase contractor quotes (via MyBuilder, email, phone), track refurbishments, manage snagging lists, and keep projects moving to completion.
- Legal & Dispute Chasing: Maintain documentation and consistently follow up on ongoing legal, insurance, and complaint matters (e.g., direct line/solicitor updates, financial complaints).
- Lettings & Vacancy Coordination: Track room vacancies, coordinate viewing feedback with our local on-the-ground Caretaker, and streamline tenant onboarding via our property software (Coho, Signable).
- Process & Task Automation: Keep our property CRM and task trackers updated, log maintenance tickets, collect photo evidence upon task completion, and log job costs.
- Weekly KPI Reporting: Provide short, clear weekly operational reports to the business owner on project statuses and escalated bottlenecks.
- Location: South Africa (for CST/SAST time alignment with the UK business day).
- Experience: 2+ years in project coordination, executive assistance, or property operations/management.
- Tech Stack: Experience with CRM/task management software, Google Workspace, and communication tools. (Experience with UK property tools like Coho, Signable, or MyBuilder is a plus).
- Communication: Flawless written and spoken English with an assertive, professional phone manner when chasing contractors and third parties.
- Availability: Dedicated, quiet work environment during standard UK operating hours (8:00 AM – 5:00 PM UK time).
