We are seeking a high-caliber, client-facing Freelancer to serve as a hybrid between an Executive Virtual Assistant and a PR Outreach Specialist. Your primary mission is to manage the professional presence of our leadership, specifically focusing on securing high-impact guest appearances on industry-leading podcasts and managing high-level appointments.
The ideal candidate possesses a "thick skin," a persuasive communication style, and the organizational prowess of a seasoned EA. You won't just be managing a calendar; you will be the "voice" of the brand, pitching to producers and ensuring every engagement is executed flawlessly.
Expertise & Responsibilities
- Strategic Podcast Booking: Researching relevant podcasts, identifying key decision-makers, and crafting personalized, high-conversion pitches to secure guest spots.
- Elite Appointment Setting: Managing complex calendars across multiple time zones and acting as a professional gatekeeper for executive communications.
- PR & Brand Representation: Writing professional bios, media kits, and press releases that position our executives as top-tier thought leaders.
- High-Stakes Communication: Maintaining a 100% mastery of the English language (written and verbal) to engage with high-net-worth individuals, media hosts, and corporate partners.
- Executive Support: Managing confidential information, drafting high-level correspondence, and streamlining daily operations for leadership.
Required Experience:
- Proven Track Record: At least 3+ years in an Executive VA or PR role with demonstrable success in booking media appearances or high-level sales meetings.
- Outreach Mastery: Experience navigating the "cold pitch" process and handling objections with grace and persistence.
- Native-Level English: Exceptional copywriting and verbal skills are non-negotiable.
Technical Proficiencies:
- CRM & Outreach: Proficiency in tools like HubSpot, Salesforce, or Mailshake for tracking leads and follow-ups.
- Podcast Research: Experience using PodMatch, Listen Notes, or Rephonic to identify target shows.
- Scheduling & Productivity: Expert-level knowledge of Calendly, Google Workspace, Slack, and Asana/Trello.
- Media Relations: Familiarity with Muck Rack, HARO (Connectively), or LinkedIn Sales Navigator for sourcing contacts.
