We are looking for a highly organized and proactive Virtual Assistant to work closely with the CEO of a growing digital agency. This role involves supporting daily operations, managing administrative tasks, assisting with client work, and helping implement systems that improve efficiency.
The ideal candidate is detail-oriented, tech-savvy, and comfortable working in a fast-paced agency environment. You should be confident handling both administrative responsibilities and agency-related tasks, including automations and social media management.
This is a hands-on role where you will become a key support partner to the CEO and help keep projects and operations running smoothly.
- Manage the CEO’s calendar and scheduling
- Coordinate meetings and follow-ups
- Organize tasks and priorities
- Assist with email management and responses
- Prepare documents and reports
- Assist with client projects and agency operations
- Help manage project timelines and deliverables
- Support lead generation and outreach activities
- Track tasks and ensure deadlines are met
- Maintain organized client files and systems
- Build and maintain automations using GoHighLevel (GHL) or similar tools
- Set up workflows and funnels
- Manage CRM updates and contact organization
- Improve operational processes through automation
- Assist with integrations and digital tools
- Schedule and publish content
- Maintain content calendars
- Assist with content creation
- Monitor engagement and messages
- Basic analytics tracking
- Data entry and research
- Document organization
- File management
- SOP documentation
- General virtual assistant tasks
- Experience working as a Virtual Assistant or Executive Assistant
- Experience supporting a business owner or CEO
- Strong organizational skills
- Excellent communication skills
- Reliable and responsive

Experience with:
- GoHighLevel (GHL) or similar CRM/automation tools
- Google Workspace (Docs, Sheets, Drive, Calendar)
- Social media platforms (LinkedIn, Instagram, Facebook)
- Task management tools (ClickUp, Asana, Notion or similar)
- Basic automation tools
- CRM systems
