We are looking for a high-impact Chief of Staff to act as a strategic partner and collaborator with our C-level team. This role is designed for a "force multiplier", someone who can seamlessly blend high-level executive support with Project Management.

WHAT YOU WILL BE DOING

Executive Support & Strategic Coordination

  • Calendar & Meeting Lifecycle: Manage complex C-suite calendar, prioritizing high-value engagements and ensuring leadership is briefed and prepared for every meeting.
  • Communication Hub: Act as the primary gatekeeper for incoming calls and emails, filtering priorities and gathering critical data from stakeholders to keep workflows moving.
  • Administrative Excellence: Handle the "gears" of the executive office - from complex document management and filing to coordinating signatures and maintaining strict confidentiality.
  • Maintain strict confidentiality with sensitive client and business information while demonstrating professionalism.
  • Communicate with clients regarding questions, updates, and relevant matters related to their cases.

Project Management & Operations

  • Project Oversight: Own the lifecycle of internal projects, tracking milestones, managing deadlines, and ensuring team accountability from planning to execution.
  • Workflow Optimization: Constantly look for ways to streamline "how we work" within Google Workspace and our internal project tools.
  • Research & Organization: Conduct deep-dive research to support internal operations and strategic initiatives, presenting findings in organized, actionable formats.

WHAT WE WANT YOU TO HAVE

  • At least three (3) years of solid experience as an Executive Assistant or Project Manager, specifically supporting teams or managing operational projects.
  • Project & Sales Mindset: Strong time-management skills with the ability to organize, track, and drive multiple projects and sales tasks to completion simultaneously.
  • Technical Proficiency: Power user of Google Workspace; ability to quickly master CRM software, AI tools, and Project Management tools (e.g., Asana, Monday, or ClickUp).
  • Adaptability: A "wearer of many hats" who can pivot from administrative filing to high-level problem-solving without missing a beat.
  • Communication: Exceptional verbal and written skills, with the ability to adjust tone and style for diverse audiences—from interns to C-suite.
  • Traits: Meticulous attention to detail, process-oriented, and a proactive problem-solver who anticipates needs before they are even voiced.
  • Reliability: Absolute discretion with sensitive business information and a commitment to punctual, consistent performance.

Minimum Technical and Work Environment Requirements:

  • Internet Connection:
  • Primary internet connection with a minimum speed of 15 Mbps.
  • Backup internet connection with at least 10 Mbps.
  • Backup connection must be capable of supporting work during a power outage.
  • Primary Device:
  • Desktop or laptop equipped with at least:

  • A minimum of 8 GB RAM.
  • Backup Device:
  • Must meet or exceed the performance of an Intel Core i3 processor.
  • Must be functional during power interruptions.
  • A functioning webcam.
  • A noise-canceling USB headset.
  • A quiet, dedicated home office space.
  • Peripherals and Workspace: A smartphone for communication and verification purposes.
