Proposal: Managing Your
Schedule using Google
Calendar
This document outlines how I propose to use Google
Calendar to manage your schedule effectively by adding,
categorizing, and communicating calendar events. The
goal is to improve organization, productivity, and
communication.
Section 1:
Adding Events
Follow these steps

Open Google Calendar on your preferred device.
Click on the “Create Button”.
Input essential details such as:
Event Title: Use descriptive titles, eg, “Monthly
Appraisals”
Date and Time: Ensure accuracy to avoid conflicts.
Location/Links: Add physical addresses or virtual
meeting links for easy access.
Description: include details such as meeting agendas or
action items.
N.B: Recurring events, such as monthly appraisals, can be set
up by selecting the ‘Repeat’ option to save time time and
maintain consistency.
Section 2: Categorizing Events

Communicating Events

Add participants to events by entering their email
addresses in the “Guests” field.

Google Calendar will automatically send invitations and
track RSVPs.

Attach supporting documents or links directly to the
event to provide context.
N.B: Set reminders tailored to each event to ensure timely
notifications, like 10 minutes before a call or 24 hours before a
major meeting.

Managing and
Reviewing the
SChedule

Check the calendar every morning to confirm the day’s tasks.

Conduct a weekly review to add new events and adjust
priorities.

Use the field “Find a Time” feature to avoid conflicts when
scheduling.
➔
Block “Focus Time” to complete tasks without distractions.
This feature is only available for Google Workspace users like
Business Standard, Business Plus, Enterprise, Education.
TO CREATE A MANUAL FOCUS TIME:
❏ Click “Create”
❏ Title the event “Focus Time”
❏ Set it as “Busy” to block off time
❏ Add a description like “Dedicated Time”
❏ Save the event.
With this structured and efficient use of Google
Calendar, your schedule will be more organized,
priorities will be clear, and communication
seamless.

managed effectively, allowing you to focus on
what really matters.
