Step by Step distribution Process for T-Shelter materials by Mojaz Foundation 1. Staff should be properly oriented on the overall distribution process. 2. Distribution of material will be carried out from the Warehouse; village wise beneficiaries will be invited for distribution of Shelter material. 3. Village Committees will help in controlling of crowd and smooth distribution. 4. Distribution plan will be finalized and share with CRF. 5. Tokens will be distributed one day prior to the distribution to the concern village. 6. Token acknowledgement will be signed from selected beneficiaries. 7. CRM banners & boxes will be installed in all selected villages before distribution. 8. Tokens will be issued & collected from selected beneficiaries. 9. Tokens will be stamped out to ensure transparency. 10. Each beneficiary will be bound to present original CNIC for receiving shelter material and copy of CNIC to be paste with beneficiary acknowledgement form. 11. Material will be available at warehouse one day prior or on the same day before distribution. 12. Distribution timing will be from 8:00 AM to 5:00 PM. 13. Social Mobilization team, office assistant, M&E officer, warehouse officer & Project Coordinator will be responsible for the distribution process. 14. Tokens issued to the beneficiaries will be checked and verified. 15. Tokens will be collected with cross signatures of Mojaz Foundation team. 16. Material will be handed over to each beneficiary. 17. Beneficiary acknowledgement forms and master roll will be signed from each beneficiary. 18. Pictures will be captured of each and every activity. 19. Complaints handling desk will also be installed to register complaints from the field. The following arrangements will be done for the distribution: 1. Proper sitting arrangements for both Male & Female (separately) 2. Availability of drinking water at the distribution point will be ensured by MF Administration Team. 3. Proper waiting areas for both Male & Female beneficiaries. 4. MF office assistant will be working as a crowd controller at distribution point.
