Groovin' Back in Time: Event Planning To-Do List
(June 24, 2024 - December 20, 2024)
I. Pre-Production (June 24 - September 30)
● Theme Selection (Complete by July 15): Finalize the specific decade (e.g., 80s, 90s)
for the nostalgic theme.
● Venue Booking (Complete by July 15): Secure Lufasi Nature Park for the event date
(December 20) and finalize logistics (parking, permits, power).
● Budgeting (Complete by July 31): Develop a detailed event budget outlining all
expected costs (venue rental, performers, marketing, vendors, etc.).
● Marketing and Promotion (Ongoing):
○ Launch social media campaign with engaging nostalgic content (pictures, music
snippets) using #GroovinBackInTimeLagos.
○ Design and distribute eye-catching flyers and posters across Lagos.
○ Secure partnerships with local media outlets for event promotion (radio
interviews, online features).
○ Develop a website or event page with all event details, ticket information (if
applicable), and performer announcements (as confirmed).
● Activities and Entertainment (Complete by September 15):
○ Finalize the lineup of activities (game zones, photo booth, movie screening).
○ Secure vendors for food and drinks, prioritizing nostalgic offerings.
○ Book entertainment (DJ, live music performance - tribute band or guest artist consider proposal to selected artist).
○ Finalize MC and celebrity persona(optional) relevant to the chosen era.
● Co-Sponsorship (Ongoing):
○ Develop a co-hosting proposal targeting brands that align with the nostalgic
theme (e.g.All sponsorship should be finalized by August 31).
○ Secure additional co-sponsors to offset costs and gain promotional support.
● Logistics and Operations (Ongoing):
○ Secure necessary permits and licenses for the event.
○ Arrange for waste management and sanitation at Lufasi Nature Park.
○ Plan for security and emergency medical services on-site.
○ Develop a detailed event schedule outlining activity timings, performances, and
logistics for the day.
II. Production (October 1 - December 15)
● Vendor Communication (Complete by October 31): Finalize contracts with all
vendors, outlining their responsibilities and setup details.
● Marketing Blitz (October 1 - December 15):
○ Increase social media promotion with targeted ads and influencer partnerships.
○ Distribute press releases and media kits to local outlets.
○ Run contests or giveaways on social media to generate excitement.
● Logistics Finalization (Complete by November 30):
○ Finalize stage design and equipment rentals for performances.
○ Develop a detailed site map for vendor locations, activity zones, and guest flow.
○ Finalize staffing needs and recruit volunteers for the event.
○ Order event supplies (signage, decorations, merchandise - if applicable).
● Artist Liaison (Complete by December 10):
○ Confirm final details with performers (Jodie and any others) regarding set times,
soundchecks, and dressing room needs.
III. Event Day (December 20)
● Event Set-up (Morning): Oversee vendor setup, stage construction, and decoration
installation at Lufasi Nature Park.
● Event Management (Throughout Day): Ensure smooth operation of all activities,
performances, and vendor booths. Manage any unexpected situations and maintain a
positive atmosphere.
● Breakdown and Clean-up (Evening): Oversee vendor breakdown, equipment removal,
and site clean-up at Lufasi Nature Park.
IV. Post-Production (December 21 - Ongoing)
● Event Evaluation (Complete by December 31): Collect feedback from attendees and
vendors through surveys or social media posts. Evaluate the success of the event based
on budget, attendance, and overall experience.
● Social Media Wrap-up (Complete by January 15): Share event highlights, photos, and
thank you messages on social media platforms.
● Financial Reconciliation (Complete by February 15): Finalize event expenses and
reconcile budget.
