BUSINESS BENEFITS
Application helped educational institutes to get rid of their lot of paper work,
chasing agencies for status and provide updates to applicant. This online portal
made entire process automated and hassle-free. No more phone call reminders
chasing paperwork required. System sends gentle reminders for on behalf of
them- leaving more time for client to connect with their customers.
THE VISION
Vision to create this application was to make collecting information from
teachers, doctors, and employers easier. Client witnessed the “Collateral
Contact/Sources of Verification” process and came to conclusion that it’s time to
automate the process. Client had a clear vision for a perfect application that
merged form and function-with ease and access. In other words, our technology
was created because we believe it’s way more important to spend time with
clients, and case plan- than it is begging people to complete paperwork
Client’s daily mission is to provide Child Protection Workers access to workflow
technology that promotes, supports, and enhances communication between
them and schools, doctor’s offices, employment agencies, and other organizations
directly involved with their clients.

THE CHALLENGE
In order to get the maximum utilization of the intended solution, client decided to
have full transparency in the system to assure collateral creation and proper
transition between recipient agency and state. Currently they have to work paper
process which is time consuming and could not track the details for recipient or
users. To meet the client expectation, following standards were to be considered.
Provide performance efficient solution to deal with several concurrent users
on the system.
Provide very user friendly design and application flow for end users
considering their basic knowledge of internet technologies.
Scalable solution which can be upgraded or downgraded on cloud very easily
to adapt user load as needed.

KARMSOFT’S OFFERINGS
KarmSoft developed a web application, to automate the paper based process in a
way that it will be very simple and easy for end users and will also reduce the
turnaround time drastically. We added notifications at various action and events
which will remind various stack holders to take appropriate actions immediately.
System will provide some key features as listed below.
ADMIN SECTION
Manage Users: Administrator can see all the registered user details and can
deactivate or block user in the case of complains or suspicious activity reported.
Reports: Administrator can see all reports related to collateral.
Support Ticket Management: Support team can see all the support tickets and
rectify it accordingly with the help of several screens created to validate user’s
complaint.
Feedback Management: Administrator can see all the feedback given by users.
Email Template Management: Administrator can manage email template. These
email will be sent to users as per the collateral action and account activation.

USER SECTION
Manage Users: If user has admin or supervisor access then they can their
allocated user details.
Manage Recipient: User can manage recipient details. User can select and
recipient during send collateral.
Send Collateral: User can send Medical, Employee reference and school collateral
to the recipient for specific child or person. User has to define person name, date
of birth and associate recipient from the agency. User can create collateral from
old completed collateral.
Manage Collateral: Recipient can provide the details for collateral with
document. Once the collateral complete, collateral creator get email notification.
If any time the details are not proper then user can resent same collateral.
Complain/Support: In the case of any dispute or other help, user can raise
support ticket which will be handled and rectified by support team.
