Logon to the SAP Healthcare system using your Logon ID and password.

After logon, the SAP Easy Access – User menu displays.

All images in this Reference Guide are based upon the ASPIRIN 100MG TABLET
(mnemonic ASA100PO) that was defined in the Drug Master at the time of writing.
To see the examples as presented in this manual, do the following steps:
In the Formulary ID field, type FOR

The column at the left shows List Display (*136). The section on the right shows the
Drug Master tabs containing all the fields that define a medication’s properties.

List Display view
List Display is the default when initially viewing Drug Master medications.
Ensure the
bar is selected to display as shown below
List Display (3 columns): Activation Mode, Mnemonic Name, Drug Description.
Activation Mode graphic column
Each row contains a traffic light which can be
no light, yellow, green or red.
No light means the drug is entered in the
system; further operational requirements
remain to make it active (Green).
Red means the drug cannot be ordered from
the formulary (inactive).
Yellow (pre-activated). Currently not used.
Green means the drug can be ordered from
the formulary (active).
Screen 4 List Display view
Subsequent to approval by P&T, a drug is created and saved (no light) allowing various
Drug Master Maintainers to complete their data inputs, prior to activation upon arrival of
the medication (Green light).
Use Edit – Activate to
enable orders for a drug.
Use Edit – Deactivate to
stop orders for a drug.
The status light changes
to Green (Active).
The status light changes
to Red (Inactive).
Mnemonic Name column
The mnemonic key of the drug displays here. This is a unique, meaningful key.
Drug Description column
The description of a drug displays here. The description is language-dependent.
These two fields are created whenever a new drug to be procured by P&T (operational
guidelines available to responsible Pharmacist).

Tree Display is not the default when initially viewing Drug Master medications.
Click on the
bar to return to this display.
Tree Display (3 columns): Therap. Class, Short Text and Long Text.
Therap. Class column
Drug rows contain a traffic light which
can be no light, yellow, green or red.
No light means the drug is entered in the

remain to make it active (Green).

Tree Display can be collapsed or expanded as needed.

Initially, at least two or more fields must have values entered before a medication can
be created / changed / displayed or transferred. The Formulary ID field is mandatory.
Click in the Command field and type N1MEFM then press Enter or click

At the bottom right corner of the screen,

In the List Formatting section, observe
that the Maximum No. of Hits field
contains a value of 200.

This is the reason why only 200 drugs appeared in the listing. This value restricts the
number of ‘hits’ that will be processed in any listing resulting from a search.
Maximum No. of Hits field (Initial Screen)
When accessing the database, the number of formulary entries specified here (200) is
the maximum to be read. This can significantly reduce the system response time.
The database access is unsorted; however, the data is displayed sorted in the list.
If the formulary entry being searched for is not part of the result selection, and the list
contains the exact number of entries specified, then increase the maximum number of
hits.

Press the Delete key or the Backspace key to remove the field contents (200)
Type 9999 into the Maximum No. of Hits field

Searching the Drug Master can be conducted on multiple fields. The Formulary ID field
is mandatory. Currently the only formulary in use is FOR (SAMSO Formulary).
Click in the Command field and type N1MEFM then press Enter or click

Using the Multiple Selection facility, searching for formulary entries can include multiple
variables.
Click in the Command field and type N1MEFM then press Enter or click

Entered Manually indicator
Entries in the internal drug catalog (formulary) can be transferred from an external
catalog or manually added. This indicator flags the entries which were created
manually.
Change Basic Catalog indicator
Indicator for Transfer of Basic Catalog Changes.
This indicator controls whether changes to drug properties in the basic catalog should
be transferred to the in-house catalog when comparing the two catalogs.
Dependencies
When a drug is transferred from the basic catalog into the in-house catalog, the
indicator is activated.
Example: A drug is transferred from the basic catalog into the in-house catalog. The
data is adapted to suit the institution's requirements and should not be changed during
the comparison. The indicator should be deactivated.

This Change Basic Catalog indicator in combination with making an entry in the assign
external catalog permits modifying the maximum dose on the Dose tab.

Strength value field
Value of drug strength. To precisely describe a drug it is often necessary to enter the
strength of the agent. In addition, a reference size must be given. This entry indicates
the strength of the drug. The counter describes the amount of agent contained in the
drug. The value of the reference size is the denominator.
Example: 5 mg / 10 ml, 10 mg / tablet.

individual administration. When such a drug is ordered, it is delivered as a complete

The cream is delivered as a complete tube.

Recommended individual dose. This field contains the value for the the individual dose
of a drug as recommended in standard conditions. The base unit of the drug is used as
the unit.

Preparation Fill Source Indicator. Mixtures of several drugs are used for certain
purposes. These mixtures can be manufactured in various places. This indicator flags
mixtures which are prepared in the care units. This field is defaulted to (1) Pre-Made.
Example: Infusion solutions which are used in the intensive care unit to sedate patients.
These solutions often contain several drugs. The corresponding mixtures are prepared
in the intensive care units.

Delivery in Package Size: Setting this indicator informs the pharmacy that the drug
should be delivered in complete package sizes.
Event Gen.Hor value field
Recommended period for which medication events are generated.
This value describes the recommended period in days for which medication events are
generated due to a drug order.
The value can be different from the recommended treatment duration. The events will
be generated every day for the horizon until the duration ends.
Crushable indicator
Certain drugs may only be administered in an intact condition. This indicates that a
drug cannot be divided for administration.
Example: This indicator is set if capsules cannot be opened, or tablets cannot be broken
or crushed.
Max. Denom. value field
This value describes the maximum number of parts a drug can be divided into.
Example: Value = 2: A tablet can be halved; Value = 4: A tablet can be quartered

Witness Necessary indicator
For some drugs it is necessary that a second person witnesses the administration of the
drug to the patient. This forces the nurse at eMAR to log the name of the witness before
administering the drug.
Example: This indicator is set when a witness is necessary.
Check Condition indicator
This indicates that, before a drug can be ordered or administered, specific prerequisites
must have been fulfilled.
Specifically, the physician must enter the condition in CPOE and the nurse must confirm
that the lab results have been checked in eMAR.
Example: Before a coagulation-promoting drug can be ordered or administered, the
current coagulation values must be checked.
Time-Sensitive Drug indicator
This indicator flags drugs for which strict adherence to administration times and
intervals is of great importance.
Example: In therapy with certain antibiotics it is necessary to strictly adhere to the dose
intervals.
This is the only way to ensure that the patient's blood contains sufficient quantities of
agent at any time.
If the nurse administers this medication outside of the time range, they will be required
to enter a reason for this difference in eMAR.

Med. Group ID field
This is the internal key of a medication group which determine the CPOE and eMAR
screens as there are different types of drugs. E.g. IV’s, Standards, Epidurals, etc. Each
type requires specific data to complete the order.
The Medication Group assignment is a way of informing the system what ‘type’ the drug
belongs to and accordingly what data should it prompt the user for at CPOE and eMAR.
See Appendix B for different CPOE and eMAR screens on medication groups.
Fixed vs. Changeable
Medications that are Fixed, do not allow any changes to their ingredients in CPOE.
Those that are Changeable allow changes to ingredients of the drugs and their
quantities when ordered using CPOE.
If a med group is fixed, ingredients cannot be changed in CPOE; if a med group is
changeable, ingredients can be changed.

Material Description is a text field containing up to 40 characters that describes the
material in more detail. Material description can be entered in many different languages.

This field is established when the medication is created. It is display only. The field is

1. Logon to SHC using your UserID assigned
The SAP Easy Access screen displays. The transaction to invoke the Drug Master is
N1MEFM (either upper or lower case is acceptable).
2. In the Command field, type

The Drug Maintenance Initial Screen displays.
4. In the Formulary ID field, always enter as shown below:

5. Complete the Mnemonic Name field in the Name section
