When a client reaches out and asks you to help clean their inbox, does it mean deleting all their
emails?
Absolutely not.
Email management is not about wiping messages away; it is about creating order, clarity, and a
system that allows important conversations to stand out.
In most cases, what overwhelms a client’s inbox is not work emails but promotional and
subscription messages. The first practical step is reviewing subscriptions through the “manage
subscriptions” option. From there, unnecessary mailing lists can be identified and unsubscribed
from based on the client’s preferences. This immediately reduces inbox traffic and prevents future
clutter.
Once the inflow is under control, attention shifts to organization. Important emails often come from
specific sources such as work tools, clients, teams, or payment platforms. Creating dedicated
folders for these sources and setting up filters ensures that both existing and incoming emails are
automatically sorted. This keeps the inbox clean while making essential messages easy to locate
and respond to.
Any remaining emails that do not require immediate action can be archived. Archiving is always
preferable to deletion, as it preserves records without creating visual noise. A client’s emails should
never be deleted unless explicit permission has been given.
Proper email management also includes maintaining the system over time. Periodic reviews of
subscriptions, adjusting filters when new tools are introduced, and keeping folders up to date help
sustain a clean and efficient inbox.
The result is a well-organized inbox where new messages are visible, important conversations are
