Email Setup with CLVet : Customer Logic Helpdesk
Email Setup with CLVet
Modified on: Fri, 19 Aug, 2016 at 11:19 AM
Customer Logic can send email in two ways, using MAPI, to send emails through the locally installed email program, or
directly using an SMTP server.
MAPI (https://en.wikipedia.org/wiki/MAPI (https://en.wikipedia.org/wiki/MAPI))
Customer Logic will send a MAPI email request to Windows with the relevant information. It can send address, subject,
body and attachments. This requires no changes inside Customer Logic, but does require an email program to be installed.
Outlook, Outlook express, Eudora, etc are all examples of installed email programs. Web based email like hotmail or gmail,
etc, require software to be installed to handle the MAPI request.
MAPI with gmail is very difficult and should be done by a hardware person. See this thread:
http://superuser.com/questions/573568/gmail-as-default-windows-mail-program-not-same-as-mailto
(http://superuser.com/questions/573568/gmail-as-default-windows-mail-program-not-same-as-mailto)
In Customer Logic, if there is no SMTP settings then it will attempt to use MAPI. It will give the error message from this
ticket if no MAPI client is installed.
**Note: Some email batches, like Accounts, Reminders, merges are UNSTABLE with MAPI due to MAPI restrictions. Use SMTP where
possible.
SMTP
SMTP allows Customer Logic to send emails directly over the internet without a mail client.
This can be set up in Tools>Options>Email
Normally, this should be set to the ISP email SMTP settings and not the SMTP settings of the email address (eg, gmail),
although you can still use the gmail email address for outgoing emails.
In systems where the internet is unreliable, or the SIP changes between home/clinic/car etc. We recommend
usingwww.sendgrid.com (http://www.sendgrid.com/) to send emails. Clinics can sign up for a free account. Sendgrid
tracks messages so that users can see if the message was delivered correctly. Using the direct SMTP method in CLVet
without sendgrid provides little information about delivery.
All clinics that send less than 10,000 messages a month can use the free version of SendGrid.
If clinics use the SMTP option, they can turn on View>Special WorkLists>Sent Items to see progress of email delivery.
**Note: big batches of emails, such as reminders and accounts, are placed on a queue and sent one by one. This queue can be seen
from "View>Special Worklists>Local email queue".
Currently, the queue is only maintained in memory on the computer the emails were generated on. If the computer or
CLVET is restarted, the emails will be deleted if not yet sent. A warning message will be displayed in this case.
