1. Create a Team/Folder for Very Small and Large Enterprise.
(See Audience campaign in VS for the correct folder name. Very important that folder names are similar so once we are done cleaning, it goes to appropriate folder automatically)
Download all the data and do a pivot table to see revenue labels.
There are two fields we have to check, Revenue Standard, and Revenue
If you see revenue labels that are less than 5M – move to Very Small Businesses Folder
If you see revenue labels that are more than 5B – move to Large Enterprise Folder.
2. Create a temporary Folders that says IT Contacts & Non IT Contacts.
I have IT keywords in my notepad and we have to separate them from non It. I will send over my IT keywords. There could be more you might think of. But my list would clean it for about 95%.
I suggest doing this first in excel sheet separating Non IT and IT.
Then we upload them to VS to update the IT contacts using custom field, so we can query them and move them to IT contacts.
3. After we separate the IT contacts and Non IT Contacts – we will have to query both folders and clean up Industry.
In checking industry, there are two custom field we need to watch out for, they are Industry Standard and Industry.
If the industry falls under FINANCE audience – we moved them to it.
Then we have to put the non it to Business Execs and IT contacts to regular Finance.
We also need to be aware of the revenue range limits. Each folders have revenue limits.
Same goes if Industry falls under INDUSTRIAL Audience – we look at the Audiences tracker sheet to see what is acceptable in Industrial Audience.
4. If industry is labelled IT, Software, Computer, High tech –
Check the revenue first, if it’s 250M – it goes to Embed ESA.
If revenue is more than 250M – it goes to Tech companies folder
5. If your list of records does not fall under Finance and Embed, Tech, and Industrial Audiences and revenue is within 25 to 100M and they are IT contacts – we move them to Cloud IT less than 100M folder
6. If its IT contacts, does not fall under Finance and Embed, Tech, and Industrial Audiences and revenue is more than 100M to 5B – it goes to cloud IT greater than 100M folder.
7. If you have contacts left In your Non It folder and less revenue is from 5 to 25M – it goes to Small size Businesses folder.
8. If you see IT contacts in Texas State – it goes to Converge Cloud <$5B
9. Non IT contacts in Texas stats – it goes to Converge Cloud Business Execs (25 to 100M)
10. If there’s non IT left but revenue is from 100m to 5M – it goes to Large Business Execs >$100M.
11. Once we separate all contacts by Audiences/Folder – Arnie will have to download all file and update Audiences campaign before moving all contacts to Avoid possible Duplicates.
12. Afterwards, arnie will need to step in to explain how we can copy all these records to Audiences as final step.
13. We may also consider removing titles that are Administrative Assistant, Executive Assistant, Secretary, Assistant To – but this is for approval and Arnie would have to do it prior moving records to Audiences.
14. Canada – goes to Canada folder (this step should be done at the top)
15. Ontario – goes to Canada Ontario folder. (this step should be done at the top)
