About the role
We’re looking for an experienced Senior Contracts Administrator to support our Australian operations remotely. This is a hands-on role responsible for end-to-end contract administration, document control, and helping ensure projects are set up correctly for smooth mobilisations, accurate billing, and reliable servicing.
You’ll work closely with Operations, Sales, and Finance to keep contracts, purchase orders, and project documentation clean, accurate, and moving fast.
What your day-to-day will look like
• Manage entry & maintenance of customer orders & rental contracts through our MCS Rental system
• Own contract setup and administration from award through to completion (including variations where required)
• Follow up clients to secure POs and all mandatory documents/details needed for contract establishment and on-time execution
• Maintain accurate, up-to-date contract records and filing systems (templates, executed docs, supporting documentation)
• Support project cost/budget tracking and flag variances to relevant internal stakeholders
• Liaise with Finance to enable accurate, timely invoicing and documentation support
• Coordinate with internal stakeholders and external suppliers/sub-contractors to action service requests / repair & maintenance workflows (managed via written channels/tools)
• Participate in internal project check-ins to stay ahead of milestones, changes, and upcoming needs
• Build and improve admin systems and templates so the process is scalable and consistent
What you’ll need to succeed
• Proven track record of being responsive to requests & communication
• Available to work Australian office hours 8am to 4pm (Melbourne time)
• Proven track record in a similar Contracts Administration role (senior-level experience preferred)
• Minimum 3 years experience supporting Australian industry/projects (construction, hire, or related)
• Excellent written communication skills and professional stakeholder management
• Excellent English language
• High attention to detail, strong document control habits, and a process-driven mindset
• Strong organisational skills — able to juggle multiple projects, deadlines, and moving parts
• Comfortable working remotely using business systems (contract management, trackers, cloud files, etc.)
• A “can do” attitude: accountable, reliable, proactive, and always improving
• Stable internet + reliable home workstation setup
