We are looking for a motivated and detail-oriented Virtual Assistant to join our real estate team, with a strong focus on cold calling and lead generation. This role is perfect for someone who enjoys engaging with clients, generating new opportunities, and contributing directly to sales success, while also providing essential administrative support.

You will play a vital role in managing leads, coordinating tasks, assisting with client communications, and streamlining team operations. The ideal candidate is highly organized, proactive, and comfortable handling both administrative duties and outbound client engagement.

Key Responsibilities:

  • Cold Calling & Lead Management:
  • Conduct cold calls to prospective buyers, sellers, and leads within the real estate market.
  • Qualify leads and schedule appointments for the sales team.
  • Follow up on leads and maintain accurate records in our CRM system.

Administrative Support:

  • Manage schedules, appointments, and meetings for the team.
  • Assist in preparing, editing, and organizing documents.
  • Oversee email management and prioritize important messages for timely responses.

Communication & Customer Service:

  • Serve as a liaison between our team, clients, and external partners.
  • Respond to inquiries professionally via email, chat, and phone.
  • Provide excellent customer service and represent the company with enthusiasm and professionalism.

Task & Project Coordination:

  • Assist with project coordination, document management, and data entry.
  • Organize and track incoming messages and tasks to ensure deadlines are met.
  • Conduct online research and compile data to support decision-making.

Technical Skills:

  • Skilled in Microsoft Office, online collaboration platforms, and project management tools.
  • Ability to quickly adapt to new technologies and tools as needed.
  • CRM experience is not essential — full training will be provided.

Qualifications:

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Previous cold calling experience, preferably in real estate.
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Trustworthy with confidential information.
  • Self-motivated and able to work independently with minimal supervision.
  • Experience managing multiple social media platforms, email marketing, CRM tools, and customer databases is a plus.
  • Fluent in English.
