Executive Support

  • Manage and optimize calendars, appointments, and scheduling
  • Coordinate meetings, take meeting notes, and track follow-ups
  • Handle inbox and communication management (email filtering, client follow-up, etc.)
  • Prepare reports, presentations, and spreadsheets

Real Estate Operations

  • Maintain and update property listings (MLS, CRM platforms, websites)
  • Coordinate with clients, agents, and vendors on transactions
  • Assist with listing preparation, including gathering property details and marketing assets
  • Monitor contract deadlines, ensure compliance, and manage document flow

Administrative & Systems Management

  • Develop and maintain SOPs and operational workflows
  • Manage CRM and ensure data accuracy (e.g., Follow Up Boss, Salesforce, HubSpot)
  • Oversee project management tools (Asana, ClickUp, Trello)
  • Support hiring/onboarding processes for new agents or staff

Marketing & Client Engagement (Bonus if experienced)

  • Assist with social media scheduling, basic design (Canva), or content planning
  • Help organize events, client appreciation campaigns, or referral programs
  • 3+ years as an executive assistant, operations manager, or virtual assistant in real estate or a related field
  • Familiarity with U.S. real estate practices, terminology, and tools
  • Proficient in Google Workspace, Microsoft Office, Zoom, Slack, and cloud-based tools
  • Experience with CRMs (Follow Up Boss, KVCore, etc.) and MLS platforms is a plus
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and reliability
  • Ability to work independently, manage deadlines, and multitask
