The Implementation Project Manager (PM) is responsible for planning, managing, and delivering Payroll & SaaS implementation projects within agreed timelines, scope, and quality standards while ensuring high client satisfaction. Acting as the primary liaison between clients and internal teams, the PM ensures smooth execution of Mercans’ services in global payroll outsourcing and SaaS scale-up environments.
Key Responsibilities
Project Planning & Scope Management
- Define project scope based on the Master Service Agreement (MSA) and prevent scope creep
- Develop and maintain detailed project plans in Monday.com, including integrations and deployment timelines
- Define project goals, objectives, milestones, and success criteria
- Ensure pre-implementation readiness through scoping checklists and required documentation
- Adapt implementation strategies to global payroll and SaaS compliance requirements
Project Documentation
- Develop and maintain structured project documentation (plans, scope, requirements, decisions)
- Ensure version control, audit readiness, and compliance with internal documentation standards
- Establish standardized templates and collaborate with cross-functional teams on updates
Resource & Risk Management
- Allocate and manage resources (people, budget, tools) effectively
- Identify risks, maintain RAID logs, and implement mitigation and contingency plans
- Monitor dependencies, conduct regular risk reviews, and manage escalations
- Ensure compliance with GDPR, SOC 2, and relevant payroll regulations
Communication & Stakeholder Management
- Act as the primary client contact and manage expectations on scope and timelines
- Lead project meetings, health checks, and steering committee (Steerco) meetings
- Provide regular status updates and executive-level reporting
- Ensure clear communication of key milestones, including Hypercare transition
Requirements, Configuration & Integrations
- Lead business requirements gathering using standard implementation tools
- Identify and communicate process gaps and enhancement opportunities
- Coordinate system configuration, unit testing, integrations, and data migration
- Oversee system integration testing and obtain client sign-off
Testing, Training & Go-Live
- Supervise all testing activities and ensure adherence to quality standards
- Define testing entry/exit criteria and track approvals
- Develop and deliver structured client training and self-service enablement
- Conduct go-live readiness assessments and obtain final sign-off
Post-Implementation & Change Management
- Manage change requests according to established processes
- Ensure Hypercare exit criteria are met and handover to BAU teams
- Monitor post-go-live performance and support continuous improvement
Requirements & Qualifications
- 7+ years of project management experience
- 5+ years of end-to-end global payroll implementation experience
- 3+ years using payroll software
- Experience in Payroll Outsourcing, BPO, or SaaS-based payroll/HR technology
- Strong knowledge of global payroll compliance, data security, and SaaS best practices
- Understanding of accounting principles and integration technologies (API, flat files)
- PMP or PRINCE2 certification preferred
- Proficiency in Monday.com, Google Workspace, and Microsoft Office
- Strong client-facing, communication, and organizational skills
- Ability to work in high-pressure, fast-paced, global environments, including outside business hours
