Overview

We are looking for an experienced Operations Assistant to support a UAE-based company specializing in energy solutions, industrial equipment, and technical services for the oil and gas sector.

We are looking for the following specific requirements

  • Bachelor’s degree in Engineering, Business Administration, or a relevant field.
  • Minimum of 5+ years of experience in a similar role, such as Executive Virtual Assistant, Project Manager, or Operations Support.
  • Strong background in operations, business development, finance, and bookkeeping.
  • Ability to work 20-40 hours per week, supporting clients in the GST timezone.
  • Excellent communication skills, both verbal and written, in English.

Your responsibilities will include (but are not limited to):

  • Operations Support: Manage vendor registrations with energy and utility companies, ensuring compliance with technical specifications.
  • Business Development: Identify and build relationships with key industry stakeholders in UAE, GCC, and MENA regions.
  • Finance & Bookkeeping: Assist with bookkeeping, financial tracking, and initiating payments across multiple accounts.
  • Calendar & Schedule Management: Organize meetings, manage time zones, and prepare agendas.
  • Email & Communication Management: Monitor, sort, and respond to emails, draft replies, and highlight key messages.
  • Task & Project Management: Track deadlines, ensure follow-ups, and provide progress updates.
  • Administrative Support: Perform data entry, file management, and ad hoc administrative tasks.
  • Client Collaboration: Ensure timely communication and excellent service delivery to maintain high client satisfaction.
