Operations Coordinator full time

Wheel & Anchor is a Canadian travel company that organizes small group tours all around the world for our community of travellers. Our vision is to create a community where travellers can connect to share stories and build friendships around their passion for travel. We are a remote team.

Job Requirements

  • Coordinate and plan travel itineraries and research cities/countries for prospective suppliers (hotels, guides,  transportation, dining and all other relevant tour elements) based on the program outline provided
  • Liaise via email and telephone with suppliers to gather information on pricing and their terms and conditions. Negotiate contracts and agreements to secure favourable terms.
  • Prepare travel budgets and cost estimates in a template spreadsheet
  • Make reservations, issue tickets, and book accommodations.
  • Produce documents and information within the expected time frame
  • Coordinate the execution of the trip at the destination until their departure.
  • Collect and analyze post-tour feedback and use feedback data to identify areas for improvement and implement changes for future tour experiences.
  • Provide assistance with other tasks within the Operations department.

Skills required

The successful candidate should have the following skills;

  • 6-month to 1-year experience in the travel/tourism industry in a similar position
  • Native speaker or extremely fluent in English speaking and writing
  • Precise attention to detail, especially when handling bookings, itineraries, and travel documents.
  • Strong organizational skills to manage multiple tasks, itineraries, and bookings simultaneously 
  • Efficiently manage time to meet deadlines and coordinate travel arrangements effectively.
  • Proficient in Google Suite (ie. Docs, Sheets, Forms).
  • Strong communication skills (using phone,email and Slack)

Past Experience

Candidates must be able to provide evidence of your experience in travel planning or operations in the leisure sector. If you do not have such experience, please do not apply for this role. Candidates are encouraged to submit examples of past work that demonstrate their expertise and alignment with the responsibilities of this role

Interview process

The short-listed candidate(s) will be required to participate in 2-3 interviews by Zoom or Google Meet and then given a sample project to work on which will be a paid engagement. Following this there will be a background check (references required) and a Kolbe assessment (at our expense).

Once hired

Successful candidates will be initially contracted on a project-by-project basis with a target number of hours to produce each program. The initial probation period will be 90 days after which the contract will be full-time.
