Job Summary

The Mortgage Broker Assistant provides comprehensive administrative and loan processing support to the team. The personnel will be managing the end-to-end loan process, from initial client file creation and document collection to final loan submission and post-settlement support.

Job Description

Loan Processing & Management

  • End-to-End File Management: Manage and track client loan files from initial contact through to settlement using CRM systems (e.g., Mercury Nexus, MyCRM, Infynity).
  • Documentation: Collect, verify, rename, and organize all necessary client supporting documents (e.g., Australian payslips, bank statements, tax returns, credit reports).
  • Data Entry & Submission: Accurately complete and enter client information into the CRM and loan submission platforms like ApplyOnline.
  • Credit Assessment Support: Conduct initial financial analysis, including running serviceability calculators for various lenders, calculating borrowing capacity, and performing living expense analysis.
  • Pre-Assessment Tasks: Order property valuations, title searches, and pricing requests across multiple Australian lenders.
  • Compliance: Prepare compliance documents and ensure that all file notes, disclosures, and applications adhere to the National Consumer Credit Protection (NCCP) Act.
  • Problem Resolution: Assist in mitigating or addressing Mortgage Information Requests (MIRs) and conditions raised by lenders.
  • Client Liaison: Act as the main point of contact for clients to follow up on outstanding documentation, provide status updates, and answer general inquiries.
  • Lender Communication: Liaise with lenders, valuers, solicitors, and other third parties to track application progress and resolve any issues to ensure a smooth settlement.
  • Broker Support: Draft correspondence and prepare comprehensive notes, summaries, and daily or weekly pipeline reports for the mortgage broker.
  • Manage the broker's calendar and assist with scheduling appointments.
  • Conduct basic research on lender policies, interest rates, and loan products.
  • Assist with general office administration tasks as required.

Job Qualifications

  • Industry Experience (Required): Minimum of 1-2 years of proven experience in the Australian mortgage broking or lending industry (e.g., Broker Support, Loan Processing, or Credit Analyst roles).
  • Australian Market Knowledge: Strong working knowledge of Australian mortgage products (Residential, Refinance, Purchase), lender policies, and the end-to-end Australian loan process.
  • Technical Proficiency: Demonstrated experience with Australian broker/aggregator CRM systems (e.g., Mercury Nexus, Infynity, MyCRM, Flex) and the loan application platform ApplyOnline.
  • Software Skills: Highly proficient in Microsoft Office Suite (especially Excel) and Google Workspace.
  • Communication Skills: Excellent verbal and written English communication skills for liaising professionally with Australian clients and financial institutions.
  • Attention to Detail: Exceptional organizational skills and meticulous attention to detail and accuracy in data entry and document preparation.
