Own the billing process from pre-bill review through invoice submission and follow-up. You’ll ensure invoices meet client billing guidelines, support e-billing portals, reduce rejections and write-offs, and provide reliable reporting that supports timely collections and accurate financial records.

Key Responsibilities:

  • Manage the monthly billing cycle from pre-bill preparation through final invoice submission and delivery
  • Apply client billing guidelines, matter budgets, and narrative standards to reduce rejections, write-downs, and delays
  • Prepare and submit e-bills (LEDES) and manage rejections, appeals, and resubmissions in common portals (e.g., CounselLink, TyMetrix, Serengeti)
  • Coordinate with timekeepers to improve time-entry quality, coding consistency, and billing compliance
  • Maintain matter setup details, billing arrangements, rate tables, and client requirements within the billing/practice management system
  • Track accounts receivable aging and support collections by providing status reporting and invoice back-up documentation
  • Reconcile billing data across systems (practice management and accounting), investigate discrepancies, and document corrections
  • Maintain billing procedures, month-end metrics, and audit-ready records to support consistent financial operations

Requirements:

  • 3+ years of law firm billing experience (insurance-defense and/or corporate billing strongly preferred)
  • Demonstrated experience with e-billing/LEDES and at least one major client billing portal
  • Strong Excel skills (pivot tables, lookups; Power Query a plus) and comfort working with billing datasets
  • Experience with practice management and accounting workflows (Clio, Tabs3, QuickBooks, or equivalent)
  • High attention to detail across narratives, codes, rates, invoice formatting, and submission requirements
  • Professional communication skills and comfort working with attorneys on billing corrections and compliance
  • Ability to manage deadlines, multiple billing calendars, and confidential financial information with discretion
  • US-based with reliable high-speed internet and Eastern Time overlap for billing coordination
