Job title: Legal Accounting Clerk

The position involves database entry, expense tracking, docket recording, and assisting with documentation and reporting needed by the CFO. Enter lawyer dockets, expense recoveries, disbursements, and check details into PC Law with high accuracy. Keep entries current with no backlog, reducing internal workload and improving overall efficiency.

Objectives of this role:

  • Offload and streamline high-volume, process-driven legal accounting entries.
  • Ensure accurate and timely docket entry and proper expense recovery recording (including correct HST vs non-HST separation).
  • Maintain clean, review-ready records that minimize corrections and support CFO oversight.

Responsibilities:

Admin (90%)

  • Enter lawyer dockets into PC Law accurately and on time.
  • Input file numbers exactly as provided (including matching dockets to correct files).
  • Record expense recoveries and disbursements, ensuring proper categorization.
  • Separate HST and non-HST entries correctly and consistently.
  • Enter check information using check stubs and supporting documentation.
  • Copy/paste data where appropriate and verify accuracy before submission.
  • Maintain organized documentation and a consistent workflow to avoid backlogs.

Operations (10%)

  • Download reports and submit them for internal review.
  • Provide printouts and basic reporting outputs for CFO review.
  • Perform accuracy checks and flag discrepancies or missing information promptly.

Required skills and qualifications:

  • Proven high-accuracy data entry experience (speed + precision).
  • Strong attention to detail, especially with financial entries and file/docket matching.
  • Ability to follow structured accounting workflows and repeatable processes consistently.
  • Strong accountability and reliability (meets deadlines, keeps work current, avoids backlog).
  • Able to work independently with minimal supervision and limited training time.

Proficiency with:

  • PC Law
  • Microsoft 365 (Excel/Word/Outlook)
  • Basic scanning, email, and document handling
  • Comfort using cloud-based systems and structured data entry tools

Preferred skills and qualifications

  • Experience with legal accounting or prior work in a law firm environment (dockets, file structures, recoveries).
  • Experience handling tax-separated entries (e.g., HST/GST/VAT separation) and careful financial categorization.
  • Experience maintaining reporting cadence and preparing review-ready outputs for finance leadership.
  • Preference for candidates with full-time dedication and long-term commitment to a repetitive, process-driven role.
