Key Responsibilities:

Leadership & Team Management

  • Supervise and mentor two junior accounting staff members
  • Assign, review, and quality-check work performed by junior team members
  • Provide training and development to build team capabilities
  • Conduct performance evaluations and provide constructive feedback
  • Foster a collaborative, detail-oriented, and efficient accounting team culture

Financial Operations & Accuracy

  • Oversee day-to-day accounting operations for all managed properties
  • Reconcile monthly ledgers for accuracy and completeness
  • Review and approve accounts payable and accounts receivable transactions
  • Ensure timely and accurate monthly financial close processes
  • Implement and maintain internal controls to prevent revenue leakage
  • Identify and correct discrepancies in financial records
  • Monitor cash flow and maintain accurate trust account reconciliations

Revenue Management & Loss Prevention

  • Implement systems and procedures to prevent revenue leakage
  • Monitor rent collection processes and identify delinquencies early
  • Review property income and expenses for anomalies or errors
  • Ensure proper billing and collection of late fees, pet fees, and other ancillary charges
  • Audit vendor invoices and property expenses for accuracy and proper authorization

Client & Stakeholder Communication

  • Respond to owner inquiries regarding financial statements, disbursements, and property performance
  • Address tenant billing questions and resolve account discrepancies
  • Prepare and present clear, accurate financial reports to property owners
  • Communicate financial trends, concerns, and recommendations to management

Bookkeeping & Tax Support

  • Perform monthly bookkeeping for all businesses owned
  • Maintain organized, audit-ready financial records
  • Prepare detailed financial documentation and reports for CPA tax filing
  • Coordinate with external CPA and provide requested information in a timely manner
  • Ensure compliance with tax regulations for all entities

Process Improvement & Strategic Initiatives

  • Analyze current accounting processes and identify inefficiencies
  • Develop and present recommendations for process improvements to management
  • Implement best practices in property management accounting
  • Research and recommend accounting software, tools, or automation solutions
  • Create and update accounting policies, procedures, and documentation
  • Identify opportunities to improve bottom-line profitability and revenue growth
  • Collaborate with management on strategic financial planning

Compliance & Reporting

  • Ensure compliance with property management trust accounting regulations
  • Maintain compliance with federal, state, and local financial reporting requirements (1099)
  • Prepare monthly, quarterly, and annual financial reports
  • Support internal and external audits as needed
