Estimating & Administrative Assistant (Remote) full time

We’re looking for a sharp, detail-oriented assistant to support both our estimating and day-to-day administrative operations for printing and installation projects.

We are a printing and installation company, and this role is focused on working on the pricing and pre-production process for preparing printing and installation estimates, which can involve reviewing construction/design plans, understanding scope, and building accurate quotes through our internal estimating platform. Prior experience with printing, signage, and large-format graphics is strongly preferred.

Administrative, Billing & Office Support

  • Assist with client outreach and follow-ups (primarily email-based)
  • Monitor, organize, and respond to incoming emails
  • Help route quote requests and project information internally
  • Prepare and send invoices based on approved quotes and completed work
  • Assist with billing tracking, payment follow-ups, and basic accounts receivables support
  • Maintain project records, quotes, invoices, and documentation
  • Assist with scheduling, confirmations, and general coordination
  • Support the team with other day-to-day administrative tasks as needed

Estimating & Pre-Production Support

  • Review printing, architectural, construction, design, and production plans (PDFs, drawings, elevations and printing specs)
  • Identify and interpret scope related to:
  • Print collateral specifications
  • Vinyl graphics
  • Wallcoverings
  • Window film
  • Signage and displays
  • Calculate square footage, linear footage, quantities, and material needs
  • Estimate labor hours based on project scope (training will be provided)
  • Enter detailed and accurate information into our quoting software
  • Flag missing information or inconsistencies in plans so they can be clarified early

  • Ability to read and interpret floor plans, elevations, and site drawings
  • Solid math skills (area calculations, unit conversions, takeoffs)
  • Basic understanding of construction or installation workflows
  • Self-motivated and able to work independently
  • Fluent in written and spoken English (Spanish is a bonus)

Strongly Preferred Experience

  • Experience in printing, signage, large-format printing, graphics, or construction
  • Familiarity with materials such as paper, vinyl, wallpaper, fabric graphics, acrylic, aluminum, etc.
  • Previous estimating, production coordination, and billing experience
  • Familiarity with quoting or invoicing platforms
