We are looking for an experienced Executive Virtual Assistant for an Oil & Gas Supply Service Provider based in UAE. This role requires hands-on experience in budgeting, cash flow forecasting, financial reporting, and e-commerce operations to optimize costs and ensure business efficiency.
We are looking for the following specific requirements:
- 3+ years of experience in e-commerce finance, logistics cost management, and Shopify financial operations.
- Expertise in budgeting, cash flow forecasting, financial reporting, and bookkeeping.
- Hands-on experience managing inventory financing, supplier payments, and fulfillment cost analysis.
- Knowledgeable in QuickBooks, Xero, MS Teams, Google Workspace, and financial tracking tools.
- Strong analytical skills with the ability to optimize financial processes and improve cost efficiency.
- Exceptional English communication skills, both written and spoken.
- Proven experience in executive-level support, financial administration, and project coordination.
Your responsibilities will include (but are not limited to):
1. Budgeting & Cash Flow Management
- Develop and manage financial budgets for an e-commerce business.
- Forecast and monitor cash flow to support daily operations and scaling.
- Plan and allocate funds for inventory purchases, advertising spend, and logistics costs.
2. E-Commerce Financial Management (Shopify & Logistics)
- Analyze cost structures, including payment processing fees, platform charges, fulfillment expenses, and supplier payments.
- Track and optimize profit margins, return rates, and the financial impact of promotions and discounts.
- Oversee financial aspects of order fulfillment, supply chain costs, and shipping logistics to maintain cost efficiency.
3. Financial Reporting & Administration
- Prepare detailed e-commerce financial reports, including revenue tracking, profit margin analysis, refund assessments, and expense management.
- Manage accounts payable and receivable, supplier invoices, and reconciliation of financial records.
- Oversee operational costs, implement cost-saving strategies, and ensure financial efficiency in day-to-day administration.
4. Executive & Operational Support
- Calendar and Schedule Management: Organize meetings, manage time zones, and prepare agendas/materials.
- Expense & Invoice Management: Track expenses, manage receipts, and prepare financial reports.
- Email and Communication Handling: Monitor and respond to emails, draft responses, and highlight key messages.
- Document Preparation: Create and organize documents, presentations, and professional reports.
- Research and Data Gathering: Conduct industry research, summarize findings, and provide insights.
- Task & Project Management: Track tasks, deadlines, and provide status updates.
- CRM & Systems Management: Maintain client information and update records in CRMs, ERP systems, and e-commerce dashboards.
