The Role:

Smart Energy is seeking a tenacious and highly organized New Build CRM & Purchase Order Administrator to bridge the gap between procurement and project execution. This role focuses on the high-integrity management of data entry, the analytical oversight of purchase orders, and the general administration of Salesforce specifically for our new build channel. You will ensure that technical data is accurately reconciled across platforms and that all financial and technical documentation is correctly uploaded to the CRM to facilitate seamless project energization.

DUTIES AND RESPONSIBILITIES

  • Data Entry & CRM Management: Execute high-volume, accurate data entry into Salesforce, ensuring that all account details, technical specifications, and project milestones are up to date.
  • Purchase Order Analysis: Audit and reconcile purchase orders against site records and Salesforce data to ensure inverter ratings, phase counts, and equipment specifications match 100% before project progression.
  • CRM Documentation Upload: Manage the systematic upload of technical documents, site records from Formbay, and approved grid connection paperwork into the Salesforce CRM.
  • General Salesforce Administration: Act as the primary administrator for the New Build channel, maintaining real-time status updates for all stakeholders and ensuring data hygiene across the platform.
  • Technical Data Auditing: Identify and resolve discrepancies between Formbay site records and CRM data that could lead to technical defects or project delays.
  • Stakeholder Coordination: Communicate directly with installers, builders, and suppliers to "chase" and capture missing purchase orders or technical details required for CRM completion.
  • Status & SLA Tracking: Maintain dashboards and reports on application progress, pending fees, and approval timeframes to keep stakeholders informed of project health.

Education & Experience

  • Tertiary Level Education
  • 1–2 years of experience in a High-Volume Admin, Data Entry, or Virtual Assistant role
  • Aptitude for Training: While technical solar knowledge is a plus, we will train candidates who possess high logical reasoning and extreme attention to detail.

Key Skills & Attributes

  • Platform Proficiency: Advanced comfort managing complex tasks across Salesforce, Formbay, Slack, and Google Workspace.
  • Logical & Detail-Oriented: A "detective" mindset to analyze why purchase orders or data sets do not match and the persistence to rectify them.
  • Exceptional Communication: Strong written English for clear communication of technical and administrative requirements to builders and suppliers.
  • Time Management: Ability to prioritize data uploads and PO analysis based on strict build deadlines.
  • Reliable Setup: Stable internet connection and a dedicated, professional work-from-home environment.

This role is remote and will be performed Monday - Friday 9:00AM - 5PM AEST)

Also note the role will be paid $6-7 AUD p/h (Based on experience and at the discretion of the hiring manager) due to being and Australian based buinsess.
