Responsibilities of the Client Success Support:

Your responsibilities include:

  • AI & Chatbot Management:

  • Leverage AI tools to enhance client support and operational efficiency

  • Utilize and manage AI chatbots, ensuring seamless integration into daily workflows

  • Assist in the creation, optimization, and management of AI chatbot functions

  • Familiarity with at least one AI platform (e.g., ChatGPT, Gemini, Claude) and a strong eagerness to learn and implement AI-driven solutions

  • Outsourced Professional Supervision:

  • Track and manage team members’ activities, ensuring focus on a single assigned client

  • Monitor application and website usage, email exchanges, and activity levels to ensure efficiency and compliance

  • Conduct real-time performance checks, provide direct feedback, and send Slack messages to reinforce productivity

  • Document and track improvement plans, ensuring accountability through follow-ups and check-ins

  • Productivity Tracking & Compliance:

  • Review the previous day’s productivity using Teramind or other tracking tools, flagging any behavioral concerns

  • Prepare and compile monthly performance reports, identifying trends and actionable insights

  • Conduct random check-ins to ensure team members adhere to company policies and are not engaging in unauthorized work

  • Process Adherence & Coaching:

  • Ensure all OPs follow established workflows, guidelines, and company processes

  • Provide coaching and corrective guidance to align performance with company expectations

  • Proactively address process gaps and recommend improvements to enhance operational efficiency

  • Reporting & Client Communication

  • Generate detailed reports on team performance, highlighting key trends, concerns, and areas for improvement

  • Review end-of-day reports for accuracy and alignment with assigned tasks

  • Client Calls & Issue Resolution:

  • Conduct Teramind walkthroughs (Week 2 of onboarding) to familiarize clients with performance tracking

  • Join client calls to explain key performance issues, alerts, and data insights

  • Escalate unresolved or critical operational concerns to the Accounts Manager when necessary
