Position Responsibilities
· Collect, review and process contractor invoices monthly
· Expense report processing as required
· Month end client invoice production
· Follow up on delinquent client accounts
· Maintain the Time Off company calendar (Google Calendar)
· Schedule account management calls and other cross-area meetings
· (Google Meet, Google Calendar)
· Organize shared file areas (i.e. Google Drive, centralized access to things like
· SOWs, MSAs, SOPs, etc.)
· Create and implement a naming convention for projects and clients across
· platforms (Monday.com, Paymo, Xero, Freshdesk)
· Build out and administer the candidate/employee search, hire, onboarding and offboarding processes (Indeed/LinkedIn/ZipRecruiter, Monday.com, Dealing with our Accountants)
· Collect data for the daily tracking reports sending it to COO by 7:30 am daily, Eastern Time (Paymo, Freshdesk) - Take on the actual report (Excel, Math Skills, logic skills)
· Create other reports as trained and required (e.g. Helpdesk ticket reporting, client status reporting…)
· Research improvements we can make in the daily use of Paymo (budget
· tracking), Freshdesk (ticket entry and tracking), Monday.com
· (Implementation tracking, maybe use automation, knowledge center and
· guide creation execution/improvement…)
· Maintain the client management board in Monday.com
· Monitor website contact requests, qualify and enter leads in CRM (Monday.com)
Skills and Qualifications
· Proficient with Google Suite of tools (Docs, Sheets, Calendar, Meet…)
· Complete proficiency in document and spreadsheet production and
· management in MS Office
· Comfort exploring and learning new software quickly and efficiently
· Experience with project management and project management tools is
· needed. Specific experience with Monday.com is a plus
· Ability to organize and self-manage
· Excellent communication oral and written communication skills - must be
· able to create, organize, and manage company SOP data bank
· Higher level basic math/calculation skills, and knowledge of formula creation
· in spreadsheets is required
Previous use of an accounting package and experience in expense management and financial reporting are a plus
