We are looking for a reliable, warm, and detail-oriented Admin and Customer Service VA to handle both administrative and customer service tasks for our expanding business. The ideal candidate will have a strong command of English, a customer-first mindset, and a passion for providing exceptional service. As a VA, you will play a vital role in maintaining smooth client interactions and supporting our team's operations.

Key Responsibilities:

  • Daily Reminders: Send SMS reminders to clients and follow up with calls if necessary.

  • Client Calls: Handle inbound lead calls, providing excellent customer service and information about services.

  • Sales Support: Understand business rates and offerings to assist clients and close sales effectively.

  • Issue Resolution: Address and resolve customer complaints with empathy and professionalism.

  • Administrative Tasks: Perform scheduling, client communication, and data entry to ensure smooth business operations.

  • Client Engagement: Ensure positive and professional interactions, maintaining a high level of customer satisfaction.

Required Skills:

  • Fluent English Communication: Exceptional written and verbal communication skills with a native-level command of English.

  • Reliability: Must be punctual and dependable, ensuring tasks are completed on time.

  • Warm & Approachable Personality: A friendly, customer-focused demeanor that builds rapport and trust.

  • Organizational Skills: Strong attention to detail and the ability to manage tasks efficiently and without oversight.

  • Experience with Admin Tasks: Familiarity with appointment scheduling, CRM systems (specifically Rapid1), and call handling.

Preferred Skills:

  • Experience in Customer Service: Previous experience in customer service or a client-facing role, preferably in an administrative capacity.

  • CRM Expertise: Experience with CRM tools (Rapid1 or similar) and familiarity with managing client data and appointments.

  • Sales Support Experience: Comfort with closing sales and providing information on pricing and service offerings.

  • Problem-Solving Skills: Ability to handle challenging customer interactions and resolve issues quickly and effectively.

  • Tech-Savvy: Familiarity with communication tools like SMS platforms and call management software.

  • Time Management: Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
