BUSINESS REQUIREMENT
Sports is largely encouraged in Denmark. The client needs an efficient management system for
the municipalities and private organizations that are providing facilities for various activities. The
system had to be built upon MS Dynamics CRM so as to have basic CRM functionalities along with
a Booking Management System integrated into CRM.
OUR SOLUTION
Introducing a new vertical for booking in CRM, along with Sales, Service & Marketing enables the
user to manage all booking activities. Users of this solution are staff at the municipalities or the
private organizations which provides services and sports facilities to the public and their
registered customers.
They provided a functionality for small organizations like sports clubs, schools, and sports centers
to associate with the bigger organization like municipality to share their services and facilities
and manage their bookings centrally.
The CRM users are enabled to configure the services & facilities, their calendars, add-ons, etc.
Facilities like a big hall can be divided into multiple child facilities and each child facility can be
booked as an individual facility. Vice versa, multiple bookings are made very flexible providing
the functionality to book a facility for a single day, multiple days in a row, or only on selected
days. User can also define price lists for various facilities and membership price lists for premium
customers.
Booking administrators are provided with some added functionality such as below:

Booking once made can also be moved to waiting mode or canceled in case of
maintenance or unavailability of facility due to any reason.
Make changes to existing bookings.
The customers are notified about the bookings or changes to their existing booking via email.
Customers get their updated order receipts and invoices with notification emails.
Moreover, the bookings are made in seasons also, where the sports center announces the start
of the season and invites booking requests from the teams of various organizations. These
booking requests are generally for longer/regular period of time. The requests received till the
end date are then manipulated and accepted as per the availability of requested facility, day &
time. In case, two or more requests are conflicting, the booking administrator tries to eliminate
the conflict by suggesting another equivalent facility, or an alternate day or time (whichever

available). Once all the conflicts are resolved, the requests are finally accepted and converted to
confirmed bookings.
The solution described above, works for the CRM users. But a solution is needed with which the
users in general public can also get benefits of this system. A dedicated web application was then
developed in Umbraco, which was published for public use.
The users can carry out all booking operations (other than administrative operations) using this
web application. They can view the graphical overview, search availability, request booking,
request changes on existing booking, cancel bookings, etc. All the data is pushed to CRM for
further actions by booking administrators. Like CRM users, web users are also notified with email,
for the actions taken for their bookings.
The solution is successfully deployed for more than 20 regions in Denmark.
