Overview
The company is a leading low-voltage installation and fire protection company based in Beaumont, Texas, seeking a highly detail-oriented Accounting Specialist to manage day-to-day accounting operations. This role supports the company's financial accuracy and cash flow management by handling billing, invoicing, collections, and general bookkeeping for both service and monitoring divisions.
Key Responsibilities:
1. Bookkeeping & Accounting
- Maintain accurate and up-to-date financial records in QuickBooks Online (QBOL).
- Record and reconcile accounts payable and receivable transactions.
- Ensure proper coding and classification of all transactions.
- Prepare and post journal entries as needed.
- Support monthly closing activities including reconciliations, accruals, and reporting.
- Assist in preparing reports for management review.
2. Billing & Collections
- Generate and send service, installation, and monitoring invoices in a timely manner.
- Follow up with customers regarding outstanding balances and clarify invoice discrepancies.
- Make collection calls or send reminders to ensure prompt payment.
- Track and report on A/R aging and collection performance metrics.
- Coordinate with operations and sales teams to verify work completion before invoicing.
3. Client Communication
- Communicate directly with U.S.-based clients regarding invoices, payments, and clarifications.
- Maintain a professional and courteous demeanor in all customer interactions.
- Collaborate with internal teams to resolve client disputes quickly and accurately.
4. Process & Reporting
- Review and maintain documentation for billing, collections, and vendor payments.
- Identify process improvements to enhance accuracy and efficiency.
- Assist with compliance and audit requests as needed.
- Maintain confidentiality and integrity of financial data.
5. Systems & Tools
- Use Hubstaff for time tracking and productivity monitoring.
- Work within QuickBooks Online, Microsoft Excel, and other internal systems.
- Support migration or integration projects between accounting tools as directed.
Qualifications:
1. Education & Experience
- Bachelors degree in Accounting, Finance, or related field preferred (or equivalent work experience).
- Minimum of 3+ years of bookkeeping experience in a corporate setting; experience with U.S.-based companies preferred.
- Familiarity with construction, service, or fire alarm/low-voltage industry a strong plus.
2. Technical Skills
- Proficiency in QuickBooks Online (QBOL) and Microsoft Excel.
- Strong understanding of accounting principles and general ledger structure.
- Experience managing A/R, invoicing, and collections processes.
- Strong organizational and time management skills with attention to detail.
3. Communication
- Excellent written and spoken English.
- Strong client-facing communication skills for phone and email correspondence.
