Responsibilities of the Accounting & Finance Assistant:
Your responsibilities include:
π³ Accounts Payable & Invoice Processing
Track, review, and prepare invoices for approval β ensuring accuracy before sending to leadership
Manage bi-monthly bill pay cycles (1st and 15th of each month), covering between 25β50 accounts/bills at a time
Partner with the Controller to execute payments on time and maintain clean records
Look for opportunities to streamline and automate existing Excel-based processes
π Monthly Closings & Financial Statements
Assist with monthly closings across multiple entities.
Record invoices into QuickBooks and reconcile against budgets.
Export and track data in budgeting spreadsheets.
Process reimbursements and maintain expense reports.
Ensure closings are completed within the first week of each month.
π Budgets, Reporting & Presentations
Compile data for budget creation, expense tracking, and performance reports
Assist in preparing cost reports, budget-to-date comparisons, and projected budgets for multiple projects
Combine property details, market research, and financial analysis into clear, presentation-ready documents used by senior leaders and acquisitions teams
Help standardize reporting templates so the company can move toward a more efficient, repeatable reporting system
π Financial Modeling & Analysis
Build and maintain Excel-based financial models, with a primary focus on budgets
Support the acquisitions team with underwriting models, especially when evaluating new deals
Apply assumptions and interpret key real estate metrics such as IRR, NOI, and cap rates
Provide insights that help leadership make smart investment and operational decisions
π Research & Market Support
Conduct market analysis using brokerage reports, CoStar, and other data sources
Summarize findings into quick, usable insights for executives
Assist with property tax and insurance research, particularly during tax season
Provide background research for Offering Memoranda (OMs) and presentations
π Project Management & Ad-Hoc Support
Keep track of project timelines, deliverables, and follow-ups, ensuring nothing slips through the cracks
Handle one-off research or data entry tasks (e.g., pulling city-specific costs, filling out financial forms)
Support executives with special projects that align with the companyβs broader strategy
